Check Statuses and Filter Checks on POS

Learn about open, paid, and closed check statuses. This article will also cover check filters that can result in checks not showing up.

Open, Closed, and Paid Check Status

At any given time, a server's checks will fall into one of the following statuses:

  • Open - This is a check with no payments attached. It is still active with a balance due. 
  • Paid - A credit card has been swiped but the check hasn't been closed. This allows you to adjust the payment to add a tip before closing the check. 
  • Closed - These checks have been adjusted to their final amount. This is what will be charged at the end of the day.

Sort, Filter, and Advanced Search Checks on POS 

Toast allows you to sort checks by using various filters.

  1. Start on the main menu of the Toast app on your POS and navigate to Mode > Payment Terminal
  2. You will see Open, Paid, and Closed check filters at the top so you can sort by check status.
  3. You'll also see the filter button to the left of the search button (magnifying glass) near the top right corner of the screen. Selecting this button will allow you to sort and filter checks

You can sort by:

  • Check number
  • Most recent
  • Oldest
  • Table number
  • Amount due
  • Dollar amount
  • Customer last name
  • Tab name
  • Quoted time


You can filter by:

  • Show checks for current user 
    • Keep in mind that this filter applies to the POS device, not just the current user's session. When another user logs into this device, this filter will carry over the previous setting and this can cause confusion with employees not seeing checks that they're supposed to or vice versa.
  • Online order
  • Order type
  • Dining option


Note: 
If you choose to use Table View, you will also be able to filter by Type, Source, and Status. This is not available in the original two column view.  To learn more about Table View, see Manage Payments With Toast POS.


You can also do an advanced search by selecting the three-dot overflow menu in the top right corner, then selecting Advanced check search This will allow you to search by Check Number, ID, Customer Info, Credit Card, and Advanced Search, where you can search by Check Amount, Employee, or Date Range.

Note: If a check was opened but nothing was added to the check (it was abandoned) OR if a check is voided, the check numbers will be skipped and therefore will be missing from reporting.

If you leave any sorted check view and return to it, you will see the same sorting and filtering that you left. These filters also remain across many different screens. These are the Previous Checks button, the Payment Terminal, the Pending Orders screen, and the Delivery screen. It will not affect the ticket display screen, which shows the prep stations and kitchen tickets. These are device-level filters, and will also be persistent across users. So if someone else uses their passcode on the device, it will have the same sorting and filtering that was applied by the previous user.

If you don't see a check that you expect to see on the Payment Terminal, review your filters to make sure they aren't accidentally excluding the check.
