Learn how to check or adjust the balance of a guest's existing gift/reward card.

What you'll accomplish: Find a guest's current gift card balance, look up the PIN, add value to an existing card, or correct a balance — using the POS, Toast Web reports, or the public Toast Gift Card Lookup Site.
Note: The Toast Gift Card Lookup Site is currently in limited release with select customers. If you do not see this feature yet, stay tuned for a future update.
Note: Gift card swiping is not currently available for customers in Canada, Ireland, and the U.K.
Gift card information lives in multiple places depending on what you have to start with. Use this table to pick the fastest path.

Use this method when you have the physical card, the eGift QR code, or the guest's contact information.
Expected outcome: The balance inquiry results appear with the card's current dollar balance.
Use Toast Web when you need to research a transaction or look up a card you no longer have in hand. There are four ways to do it.
Use this method when you know the original check number or have the last four digits of the credit card the guest used.
Expected outcome: The gift card number(s) appear on the Order Details page based on the search parameters entered.
Use this method when you know roughly when the gift card was purchased or used. This also covers historical lookups (for example, finding an eGift card issued in a previous year).
Expected outcome: You'll see every transaction on the gift card during the date range — including sales, redemptions, and balance adjustments — along with the current balance.
The Gift Card Balances report is real-time and lists every active gift card. Use it when you have the gift card number or want to scan a list of all active cards.
Expected outcome: The report lists every active gift card with current balance, initial amount, first transaction date, and last transaction date. Select any card to open the Card Details window.
Note: The Gift Card Balances report is real-time only and ignores date range filters. To search by date range, use the Gift card transactions report instead.
Use this method when you know the gift card was purchased on a specific date but you don't have the card number.
Expected outcome: The Deferred column reveals the gift card information tied to each item sold on that date.
The Toast Gift Card Lookup Site is a public page your guests can use to check their own balance. Guests need the 16-digit Toast gift card number. If you imported cards from a previous provider, see Enable the Lookup Site for Imported Cards below.
Note: The Toast Gift Card Lookup Site is currently in limited release with select customers.
Your Lookup Site URL is on your Restaurant info page in Toast Web. To find it, navigate to Takeout & delivery > Toast order sources > Restaurant info. Share the link on your website and social media so guests can find it easily.
By default, the Lookup Site searches only Toast-assigned 16-digit card numbers. If you imported gift cards from a previous provider, guests will need to use their imported card number — so you must turn on the imported-number search.
Expected outcome: Your Lookup Site now accepts both Toast-assigned and imported card numbers.

A guest on your Toast Gift Card Lookup Site enters their 16-digit gift card code in the Card Number field, selects the reCAPTCHA checkbox, then selects Submit. The site directs them to their unique gift card page. The 16-digit Toast gift card number displays below the QR code with a space after every four digits.
If your restaurant has Toast Online Ordering enabled, the same code can be redeemed as payment for guest online orders.
The PIN is in the original email or text message the guest received when their eGift card was sent. If the guest can't find that message, look up the PIN in Toast Web.
Expected outcome: You can read the PIN to the guest or share the Lookup Site link so they can check the balance themselves.
Note: The PIN is not needed for Local by Toast or branded app usage.
Use this method when a guest wants to reload an existing card. The added value appears on the order screen and is paid for as part of the check.
Expected outcome: The added value appears on the order screen and is ready for payment. The new balance is reflected immediately after the check is paid.
Use this method to correct a card's balance — for example, after a failed import, a promotional adjustment, or a comp. You can adjust one card or several without leaving the report.
Expected outcome: The new balance is saved on the card and reflected immediately in the Gift Card Balances report.
To find a giftcard balance using the card number, navigate to Reports > Payments > Gift Card Balances in Toast Web, then enter or paste the card number in the search bar. The current balance, first and last transaction date, and initial amount appear in the Card Details panel.

If a guest can't find their eGift card number, the fastest path is the Toast Gift Card Transactions report. In Toast Web, navigate to Reports > Payments > Gift card transactions, then search by the guest's name, email, or the date of purchase. Card numbers also appear on any check that used the gift card — see By Check Number or Credit Card Number above.

A $0 balance on a card you imported from a previous provider most often means the card was imported as active with a $0 balance instead of as inactive. Yes — but refunding a gift card check is a different workflow than adjusting the balance. A refund returns money to the guest's original payment method; an adjustment changes the value on the card itself. To refund a gift card check (and optionally remove the value from the card), see Adjust or Refund Gift Card Balance.
