Payment Authorizing and Capturing

When it comes to tracking payments in Toast Web, a few things of note for locations in Canada, Ireland, or the U.K.:

Payments will instantly go to a finalized, authorized state as soon as a credit card/debit card payment is made. Due to this finalized state, there will not be a Paid state for checks on international devices; rather, checks will go directly into a Closed state.

VAT Assessment for Payment Processing on U.K. and Ireland Customers

Deposit Reporting

The following deposit reporting is available in Toast Web for users with the required permissions:
 

  • Deposit Totals Overview (go to Reports > Payments > Deposit Totals Overview) - View your totals for settled batches of credit card deposits.
    • In the Net Deposits column, you can see the amount that will be deposited to your bank account for the date range selected on this report.
    • Note: The Pending Batches section of this report is currently only available for customers based in the U.S.
  • Settled Deposits Daily Breakdown (go to Reports > Payments > Settled Deposits Daily Breakdown) - View your settled batches of credit card deposits by location.

Sales Summary & VAT Tax Reporting

The Sales Summary report will include VAT or Value-Added Tax. This tax will appear in the tax section in Toast Web, the Sales Summary page, Tax Reporting, and any other place tax might appear (advanced properties, menu building, etc.).

This tax operates in the Ireland and the U.K.  and is payable by the final customer, or guest, of the restaurant. Here is an example of VAT taxes on the Sales Summary page:

Toast can not give any tax advice or make any tax changes for customers under any circumstances.

Voids and Sales Exceptions

The Payment Exception report will look a little different because of the lack of Voids on any payments. Voids are not possible with card processing because the payments are finalized instantly, so the payments go directly to a closed state.

The Sales Exception report or the Voided Orders report are fully usable, but will not have any payment data under Voids because there cannot be a void on a payment with card processing devices.

The Void Orders report will show values in the Refunds section, but Voided payments will always be empty. Voids will only show voided items, not payments.

Find Checks

Finding checks in Toast Web will work just as it does for U.S. customers, with a few small changes to workflow. Otherwise, the user experience and workflow will operate in the same way.

Here are a few limitations on the Find Checks page in Toast Web for Canada, Ireland, and U.K. locations:
 

  • To send a receipt, edit a tip, or perform related actions, use the POS Terminal. These cannot be done on Toast Web.
  • Re-keys cannot be completed for Canada, Ireland, and U.K locations.
  • Unlinked refunds cannot be completed.

Business Cutoff Time
