Export a Filtered Report With Custom Columns

Choose Which Columns to Export

Many Toast Web reports let you add or remove data columns before you export, using the Show/hide columns selector at the top right of the report. The report updates in real time as you change your selection, and your column choices apply to both the on-screen view and the file you export.

 

  1. Open the report you want to export in Toast Web > Reports.
  2. Select Show/hide columns at the top right of the report table.
  3. Choose the columns you want to include. The report updates in real time.

 

To return to the default columns, select Restore.

 

You should now see the report on screen showing only the columns you selected.

 

Note: Column selection controls which columns are included. It does not change which rows or records appear. Use the report's filter bar — time frame, location, employee, and similar filters — to narrow the rows before you export.

Download or Email Your Filtered Report

After you have set your columns, save the report using whichever option the report supports. The download icon and the Email Export button both appear at the top right of the report, next to the Show/hide columns selector. If a report does not show one of these options, that report does not support that export method.

 

To download the file directly, select the download icon (down arrow) at the top right of the report. The file downloads as a CSV that you can open in Excel or Google Sheets.

 

To have the file emailed instead, select Email Export, enter one or more email addresses separated by commas, and select Submit. Recipients receive a download link, and the file arrives as a .xls or .csv depending on the report.

 

You should now have a CSV (or .xls) file containing only the columns you selected.

Reports That Do Not Support Filtered Exports

Filtered column exports are not currently supported for the following reports. These reports export with their standard columns:

  • Cash Drawer History
  • Voided Orders
  • No Sale

Where is the show/hide columns button?

The Show/hide columns button is at the top right of the report table in Toast Web, next to the download icon. Select it to choose which columns appear in the report and in your export. If you do not see it, that report does not support custom column selection.

Why are some columns missing from my exported file?

Some columns are missing from your exported file because the export includes only the columns selected in Show/hide columns. Select Show/hide columns at the top right of the report, enable the columns you need, and export again. If a column you expect is still unavailable, your report may not offer that column.
