Consolidate multiple Toast Web logins into one account to fix phone verification conflicts and OTP/MFA delivery issues.

Why you should consolidate multiple logins

Toast Web is built around one login per person. When you have multiple Toast Web logins, the most common problem is a verification conflict: a phone number can only be verified to one account at a time, so if you use the same number on a second account, you may be unable to receive the one-time password (OTP) or multi-factor authentication (MFA) code you need to get in.

 

Consolidating your access into a single account resolves this. Once one account has all the restaurant access, jobs, and permissions you need, that becomes the only account you use to work in Toast Web. You can switch between locations from the drop-down menu in the top-left corner of the page.

 

Note: Adding a job to an account by itself does not merge two logins. Consolidation means choosing one account to keep and making sure it has all the access the other account had — not linking the two accounts together.

Before you begin

Confirm the following before you start:

  • You know which Toast Web account you want to keep as your main account.
  • You have a manager or admin available if you don't have permission to edit users. If the person making these changes doesn't have the appropriate permissions, a manager or admin with sufficient permissions will need to complete them.
  • You know whether both accounts have access to the same management set (restaurant group) or different management sets, because the steps differ.

Consolidate your access into one account

Choose the account you want to keep, then move all restaurant access, jobs, and permissions from the other account onto it.

 

If both accounts have access to the same management set

  1. Choose one account to be your main account.
  2. In Toast Web, navigate to Employees > Edit User > Jobs and Permissions for that account.
  3. Add all of the following from the other account:
    1. Every restaurant location the other account can access.
    2. Every job the other account has.
    3. Every permission the other account has.

 

Once your main account has all the correct access and permissions, it should be the only account you need to work in Toast Web.

 

If the accounts have access to different management sets

  1. Invite the account you want to keep to a restaurant in the other account's management set. For step-by-step instructions, see Assign Employees to Multiple Locations.
  2. After the invitation is accepted, follow the steps above under "If both accounts have access to the same management set" to give the account the right jobs and permissions.

Reuse a phone number that's verified on another account

A phone number can be verified to only one Toast account at a time. If you try to verify a number that's already in use — for example, a number still verified to a previous employer's account or to another user — you'll be blocked from verifying it on your current account.

 

To reuse the number, it must first be removed from the account it's currently verified on:

  • If you have access to the account that currently has the number verified, update or remove the number there first. See Update the verified phone number on your account below.
  • If the number is verified to an account you can no longer access (such as a previous employer's account), contact Toast Customer Care to have the verified phone number removed so you can verify it on your current account.

Update the verified phone number on your account

If you can log in to the account that has the phone number verified, you can update it yourself:

  1. Log in to Toast Web.
  2. Select the avatar icon in the top-right corner of any page, then select My account.
  3. In the Personal information section, find your verified phone number and select Change phone number.

 

Note: The verified phone number used for one-time password (OTP) prompts is separate from the phone number used for multi-factor authentication (MFA). To update the number that receives your MFA code, see Set Up Multi-Factor Authentication.

Before you contact Customer Care

Most consolidation steps are self-service. You need to contact Toast Customer Care only when a phone number is verified to an account you can't access and needs to be removed.

 

Before you reach out, gather:

  • The phone number you're trying to verify.
  • Confirmation that the number is already verified to a different account (for example, the error you see when you try to verify it).
  • The Toast Web email address for the account you want to keep.

Frequently asked questions

Why do I get a verification error when I use the same phone number on two accounts?

You get a verification error because a phone number can be verified to only one Toast account at a time. When the same number is verified on more than one account, the one-time password or MFA code can't be delivered reliably. Consolidate your access into a single account, or remove the number from the other account before verifying it on the one you want to keep.

 

Does adding a job to my account combine my two logins?

No — adding a job to your account does not combine two logins. To consolidate, choose one account to keep and add all the restaurant access, jobs, and permissions from the other account to it. The two accounts are not merged into one; you simply stop using the extra account.

 

How do I reuse a phone number that's still verified on my old employer's account?

To reuse a phone number that's still verified on a previous employer's account, the number first has to be removed from that account. Because you can't access your old employer's account, contact Toast Customer Care and ask to have the verified phone number removed so you can verify it on your current account.

 

What's the difference between the verified phone number and the MFA phone number?

The verified phone number and the MFA phone number are two different things. The verified phone number receives one-time password (OTP) prompts when you open pages with sensitive information, and you manage it under My account > Personal information. The MFA phone number receives your login security code and is managed through your MFA settings. For MFA, see Set Up Multi-Factor Authentication.

 

What if I don't have permission to edit users?

If you don't have permission to edit users, a manager or admin with sufficient permissions will need to make these changes for you. Ask them to add the restaurant access, jobs, and permissions from your other account to the account you want to keep.
