Limit POS Permissions to the Clocked-in Job

Question

  • If my employees have multiple jobs, can I limit their POS permissions to the job that they clocked-in to on the POS?
  • Can I limit an employee’s POS access to their active job?
  • How do I enforce the right permissions for employees based on the job that they clock in for?

Answer

By default, employees will have access to all POS permissions for all of their configured jobs. 

 

For example, if an employee is assigned both the Manager and Server job, the employee would be able to complete all manager functions (like approving voids or comps), even if they clocked in with their Server access code on the POS. Furthermore, any manager can use their POS access code for approving things like voids or comps, even if they aren’t clocked in.

 

If you’d like to limit POS permissions so that employees are only able to access the permissions assigned to their clocked-in job, you can enable job-based access. This will help you ensure that employees are only allowed to perform POS functions based on the job/rate at which they’re being paid.

 

In order to access this setting, you need the 4.22 Enable Job-Based Access permission. For businesses with multiple locations: You must have the 4.22 permission at every location in order to make changes to this setting. Job-based access is a global setting; updating the toggle at one location will impact all of the locations in your organization after you publish.

 

Follow these steps to enable job-based access:

 

  1. In Toast Web, navigate to Employees > Access management > Access management setup.
  2. Toggle the Limit POS permissions to clocked-in job setting to the On position. 
  3. Save and publish changes. If your business has multiple locations, you’ll need to publish the change at each location for it to take effect.

 

When job-based access is enabled, employees will see a message when they clock in on the POS: Please note your permissions are limited to those of your clocked-in job.

 

Note: For employees with manager jobs, permissions are granted depending on if they are either salary or hourly. For employees with salaried manager jobs, permissions are granted even when the employee is clocked out. Meaning, salaried managers have 24/7 manager permissions.
