If a guest needs to cancel their Toast Tables reservation and a cancellation fee is attached, you have complete control over whether or not the fee is charged within Toast Web and the host app. Cancellation fees can be charged up to seven days after the original reservation date.
When you cancel the reservation, you will be prompted with the following options:
Charge full fee
Charge partial fee (this amount is customizable)
Waive charge
To cancel a reservation in Toast Web:
In Toast Web, navigate to Waitlist & Reservations > Overview > View Reservations.
Locate and select the reservation you would like to cancel.
Select Cancel reservation.
Choose the fee amount you would like to apply.
Select Cancel Reservation again to complete the cancellation.
To cancel a reservation in the host app:
In the host app, locate and select the reservation you would like to cancel.
Select Cancel Reservation.
Choose the fee amount you would like to apply.
Select Cancel Reservation again.
Enter your passcode to complete the cancellation if applicable.
Passcode protection ensures only employees with proper permissions can charge or waive cancellation fees, but this is an optional setting.
To enable passcode protection, navigate to Toast Web > Toast Tables > Settings > General > Host App Permissions. Select the toggle under Access code, and select your audience using the dropdown menu under Permission.
Select your audience from the following options:
All Employees: Any employee with the 1.18 Log Into Booking App (Waitlist & Reservations) can charge a cancellation fee after entering their passcode
Admin Only: Only employees with the 1.18 Log Into Booking App (Waitlist & Reservations) and 4.7 Configure Booking (Waitlist & Reservations) can charge a cancellation fee after entering their passcode
