Understand Timesheets

Timesheets allow managers to track the number of hours an employee has worked so the data can be processed for payroll. This feature works together with the Time Clock, which lets employees clock in and out for shifts in Sling.

 

To access employee timesheets, select the Time Clock tab in the main navigation bar.

 

You can adjust the date range from one day up to the entire year. The custom date range allows up to 120 days. The list of shifts is ordered by date, but you can select different column headers to sort the list differently. You can also choose how data is grouped, including by employee name, position, location, group, or date.

 

Select the Filter button to open the filter options and the list of columns. You can add or remove columns by selecting or clearing them.

 

Available columns include:

  • Scheduled shift start and end
  • Clock-in and clock-out time
  • Break type
  • Break start and end
  • Scheduled break duration
  • Break duration
  • Scheduled shift duration
  • Shift duration
  • Difference
  • Status
  • Auto clock-out
  • Clock-in and clock-out distance when geofencing is enabled

 

The Filter row also includes options to show or hide specific locations, positions, groups, employees, tags, auto clock-outs, and statuses. You can also choose whether to view the data in hours and minutes or decimal format. 

 

Once the page is arranged the way you need, you can print or export the data. Printing lets you download a PDF copy of the timesheet report for the full table or as separate PDFs for each employee. Exporting lets you download an XLS or CSV file that reflects the data as filtered and grouped on the page.

Add a Timesheet

Sling allows you to add a blank timesheet from the Time Clock tab. This can help you add a shift that was worked but never scheduled, or clock someone in without enabling unscheduled clock-in.

 

To add a timesheet from the website:

  1. Go to the Time Clock tab.
  2. Select the Create timesheet button near the top right.
  3. Enter the employee name, location, position, and clock-in time.
  4. Add the clock-out time if the shift has already ended, or leave it blank if the employee still needs to clock out later.
  5. Select Save.

 

If you add only a clock-in time, the employee can clock out on their own when the shift ends.

Edit Timesheets as Admin or Manager

Admins and managers can access timesheets from the web or mobile app to confirm employees are clocking in and out correctly and to track hours and estimated wages.

 

Note: Managers cannot edit a timesheet once it has been approved. If a manager needs to edit an approved timesheet, an admin must first mark it as pending.

 

From the web:

You can edit employee timesheets from either the Time Clock tab or the roster on the Dashboard.

 

From the Time Clock tab:

  1. Select Time Clock in the main blue navigation bar.
  2. Find the employee and date you need to edit.
  3. Select the 3-dot option in that row.
  4. Adjust the timesheet details in the window that opens.
  5. Add clock-in and clock-out times if needed.
  6. Select Save.

 

If there is no activity for the shift, you will see the scheduled start and end time along with an option to add a clock-in. You can also type a custom time if it does not appear in the drop-down list.

 

From the Roster:

  1. Open the roster.
  2. Go to the needed date.
  3. Select the 3-dot option for the employee’s shift to make changes.

From the mobile app:

You can edit timesheets in the mobile app from the Timesheets page or the mobile roster.

 

From the Timesheets page:

  1. From the app Dashboard, select the More tab.
  2. Select Timesheets.
  3. Use the arrows next to the date range to switch weeks.
  4. Select an employee name or row.
  5. Select the specific shift you want to edit.
  6. Select the 3-dot option in the top right corner.
  7. Select Edit.
  8. Update the necessary information.
  9. Select Save.

 

From the mobile roster:

  1. Go to the app Dashboard.
  2. Select Roster.
  3. Select an employee’s name to open shift details.
  4. Select the 3-dot option.
  5. Select Edit timesheet.
  6. Make the necessary changes and select Save.

Review Employee Hours for the Month

With Sling’s time tracking function, you can track the hours your employees worked based on when they clocked in and out of their shifts.

 

If you need to review totals for the month or even the year, adjust the date range within Timesheets, which is located under the Time Clock tab in the web version of Sling.

 

You can also access employee timesheets in the Sling mobile app by going to More > Timesheets. The web version makes it easier to review totals for longer periods.

 

To review employee hours in the web version:

  1. From the Dashboard, select the Time Clock tab.
  2. Select the date range you want to view.
  3. Choose from Day, Week, Month, Payroll period, Quarter, Year, or Custom for Business plans.
  4. Select Filter if you want to narrow the results by employee, location, position, or group.
  5. Adjust visible columns as needed.

 

Once the correct data is in view, the total for each employee appears at the top of each section of timesheet data. At the bottom of the page, you can also see the total hours for all displayed shifts in the selected range.

Review Notes Added by Employees

Employees can share information about their shifts by adding a note to a timesheet after clocking in and out.

 

To review employee notes:

  1. Go to the Time Clock tab.
  2. Look for the note icon on a timesheet entry.
  3. Select the row or the icon to open the timesheet and review the note.

 

When you export timesheets, notes are included in a separate column.

 

Employees can only add a note to a shift they are currently working or have already worked.

Approve Pending Timesheets

When there is new time clock activity for an employee, Sling automatically saves it as a pending change to the timesheet. This allows managers and admins to review timesheets for accuracy before payroll is processed.

 

Managers can only approve timesheets for their assigned locations.

 

Note:

  • There must be both clock-in and clock-out data before you can approve a timesheet.
  • For Toast-integrated accounts, approving a timesheet in Sling does not approve it in Toast. The timesheet can still be edited in Toast even after it is approved in Sling.

From the web:

You can approve timesheets individually or in bulk from the web version.

 

To approve individual entries:

  1. Open the pending timesheet.
  2. Select the 3-dot option.
  3. Select Approve.

 

To approve timesheets in bulk:

  1. Select individual line items or use the select-all box at the top left of the list.
  2. Select Approve selected near the upper right corner. 

 

After approval, the timesheet status updates accordingly.

Timesheets for Employees

Edit Timesheets

If your company has a Premium or Business subscription, you can access your timesheets, which keep a record of the scheduled shifts assigned to you.

 

Note: Your company may not allow employees to edit timesheets. If you do not have access to complete these steps, contact a manager or admin to request the change.

 

Some companies allow employees to edit their own timesheets from either the mobile app or the web version.

 

To edit your timesheet in the mobile app:

  1. Select the More tab at the bottom of the screen.
  2. Select Timesheets.
  3. Select the week you want to review.
  4. Select the shift you want to edit.
  5. Select the 3-dot option in the upper right corner.
  6. Select Edit.
  7. Select the start or end time and make the necessary changes.
  8. Select Save.

 

To edit your timesheet in the web:

  1. Select the Time Clock tab in the blue navigation bar.
  2. Move to the day, week, or month where the edit is needed.
  3. Scroll to the far right of the row for the date you want to edit.
  4. Select the 3-dot option for the shift.
  5. If you have permission, select Edit.
  6. Add or adjust the time clock details.
  7. Select Save.

 

Your timesheet may still need approval before the status changes from Pending to Approved. If you do not see the option to edit your timesheet, contact a manager for assistance.

Review or Edit Hours for Week

If your company uses the Time Clock feature, you can review your punches and total hours throughout the week.

 

From the web:

  1. Select the Time Clock tab in the top navigation bar.
  2. On the Timesheets page, choose the date range you want to view.
  3. Review clock-in, clock-out, and break activity.
  4. Add or remove columns from the menu if needed.
  5. Drag and drop columns to rearrange them if desired.
  6. You can also export or print your timesheets for your records.

 

Note: If your company allows it, you will see the 3-dot option to the right of timesheet entries so you can edit your punches.

 

From the mobile app:

  1. From the app Dashboard, select the menu icon at the bottom right.
  2. Select Timesheets.
  3. Review the weekly summary.
  4. Use the arrows next to the date range to switch weeks.
  5. Select a timesheet if you need to edit it.
  6. Select the 3-dot option, then select Edit, if applicable. 
  7. Make the necessary changes and select Save.

 

This ability to edit your timesheets may or may not be available depending on your company’s settings.

Add Timesheet Notes

If you need to share some information with your manager about your shift, you can do that easily by adding a comment to your timesheet when you clock out for the day.

 

Note: Currently, this feature is only accessible when you are clocking out for your shift on the web. However, on the mobile app, you can add comments to past timesheets as long as they're still pending.

 

From the mobile app, when clocking out of a shift:

  1. Select Clock out once you are ready to end your shift.
  2. Confirm the clock out. 
  3. Select the 3-dot option in the upper right corner, then select Add comment.
  4. Type in your note, then select Save.

 

From the mobile app through a timesheet:

  1. Select the More tab, then select Time Sheets.
  2. Select the timesheet you want to add a note to.
  3. Select the 3-dot option in the upper right corner, then select Add comment. You can also choose to edit your note, rather than add one, from this step if needed. 
  4. Type in your note, then select Save.

 

From the web:

  1. Select Clock out on the Dashboard once you are ready to end your shift.
  2. Type your note in the comment section, then select Clock out.
