Toast Catering & Events: Event Areas

Question

  • How do I prevent double-booking when I have an event scheduled?
  • Can I designate a portion of my restaurant for a specific event?

Answer

Catering & Events Pro users can now assign specific areas to events, ensuring that once an area is reserved, it cannot be double-booked. Event Areas only apply to Catering & Events. They are not currently integrated with the POS or Toast Tables. 

To get started with Event Areas:

  1. Navigate to Toast Web and select Catering & events > Settings > Event Areas.
  2. Select the order types you would like to utilize your Event Areas
  3. Select + Create event area group
  4. Add a group name and group color. This group name should reflect a reservable area of your restaurant such as Main Level.
  5. Select + Event area.
  6. Add an event area name, event color, and adjust the Ignore Conflicts toggle if you would like to allow double booking within this area. The event area name should reflect reservable spaces such as VIP Lounge or Patio. 
  7. Select Create.
  8. Select Save.

Once these Event Areas are created, they can be applied to each order within your selected order types. For example, if you have Event Areas configured only for your event order types and not for catering order types, Event Areas will be accessible only within your event details when you select + Create Order and choose Event.
