Toast Tables: Ensure Revenue Is Reported Properly for No-Shows

Question

You have a guest who reserved a table with a deposit through Toast Tables, but they never showed up. How do you report this revenue properly?

Answer

Someone doesn’t show? Cancels outside of their refund window? No problem. If they were outside of their refund window, Toast will automatically realize the deposit as revenue for the date of their no-showed or late cancelation booking by the end of the day.

This is done by creating an order with just the deposit amount as an item for the date of the reservation and closing it out. 

If they later call back and you decide to refund them, you will need to:
 

  • Find the original order on which they paid the deposit. Look at the date they made their booking and you will see an order with their name on that date in the POS. You can refund their payment from here. 
  • You will also need to void the order that had the deposit revenue on it for the date of the reservation on the POS.
