This article helps you identify why an employee can't access — or can only view — Payroll, Loyalty, or Email Marketing in Toast Web, and routes you to the right fix.

Overview Steps

Applies to: Toast Web — Payroll, Loyalty, and Email Marketing modules.

 

Permissions needed (to fix it):

  • 8.2 User Permissions — required on the profile of the person making the permission change.
  • 4.8 Marketing Info — controls access to Loyalty and Email Marketing in Toast Web. The person granting it must also have it enabled on their own profile.
  • Restaurant-group-level access on the affected employee's profile if Payroll, Loyalty, or Email Marketing tabs are missing entirely.

 

What you'll accomplish: Identify which of the typical causes is blocking access, and either resolve it yourself, route it to someone at your restaurant who can, or know when to contact Toast Customer Care.

 

The four high-level steps that resolve a typical case, in order:

  1. Identify the specific symptom or error message in the Quick Fix table.
  2. Follow the linked cause section for the matching fix.
  3. If the fix requires a permission change, the person making the change must have 8.2 User Permissions and every permission they're trying to assign.

Cause 1: Missing the 4.8 Marketing Info Permission

Applies to: Loyalty and Email Marketing access in Toast Web. For Payroll-only access issues, see Cause 2 or Cause 5.

 

Likely cause: The employee profile is missing the 4.8 Marketing Info permission. This single permission controls the ability to view and edit Loyalty settings, Email Marketing campaigns, and marketing-info features across Toast Web. Without it, Loyalty and Email Marketing menus are either hidden, grayed out, or restricted to a read-only view.

 

To enable 4.8 Marketing Info on an employee's profile:

  1. In Toast Web, navigate to Employees > Employee management > Employees.
  2. Search for the employee and select their name to open their profile.
  3. Select the Jobs and Permissions tab.
  4. Scroll to the Permissions section and find the 4. Restaurant Admin group.
  5. Select the checkbox for 4.8 Marketing Info.
  6. Select Save.

 

Expected outcome: The employee can now access Loyalty and Email Marketing in Toast Web. If they were signed in already, they should sign out and sign back in to refresh their session.

 

Note: The person making this change must hold permission code 8.2 (User Permissions) on their own profile and must also have permission code 4.8 (Marketing Info) enabled on their own profile. If you cannot select the checkbox or you see the Toast error indicating you cannot edit permissions you do not have, see Cause 4.

Cause 2: Missing Restaurant Group Access

Applies to: Payroll, Loyalty, or Email Marketing — when entire menus or tabs are missing from the Toast Web side navigation, not just specific features within them.

 

Likely cause: Permissions for Payroll, Loyalty, and Email Marketing are set at the restaurant-group level on the employee's profile. If the restaurant group is not selected on the Restaurant Access tab — or if the corresponding permissions are not enabled for the restaurant group on the Jobs and Permissions tab — these modules will not appear in the Toast Web side menu.

 

To verify and enable restaurant-group-level access:

  1. In Toast Web, navigate to Employees > Employee management > Employees.
  2. Select the employee's name to open their profile. If your own permissions need to be edited, you will need someone else at your restaurant to do this for you — in practice, the owner, gatekeeper, or super user.
  3. Select the Restaurant Access tab and confirm the restaurant group (the topmost checkbox) is checked.
  4. Select the Jobs and Permissions tab.
  5. Open the Permission: Add Group / Restaurant Permissions dropdown and select the restaurant group (again at the top of the list).
  6. Enable all the permissions for the restaurant group — including 4.8 Marketing Info for Loyalty and Email Marketing.
  7. Select Save.

 

Expected outcome: Loyalty and Email Marketing tabs are now visible in the Toast Web side menu for that employee. They should sign out and sign back in to refresh the session.

Cause 3: View Is Read-Only Across Specific Locations

Applies to: Multilocation Management (MLM) restaurants where the user sees the read-only banner that names the Marketing info permission and lists specific restaurant locations the user cannot edit.

 

Likely cause: The employee has 4.8 Marketing Info at some locations but not at the locations named in the error. In Toast Web, Restaurant Access and Restaurant Permissions are two separate settings — granting a permission at the restaurant group does not automatically grant it at every individual location within the group.

 

To fix the read-only view for the named locations:

  1. Note the exact locations listed in the error message.
  2. In Toast Web, navigate to Employees > Employee management > Employees.
  3. Select the affected employee's name to open their profile.
  4. Select the Jobs and Permissions tab and scroll to the Permissions section.
  5. Select the location listed in the error to expand it.
  6. If the 4.8 Marketing Info checkbox is grayed out, select Override to make it editable.
  7. Select the checkbox to enable 4.8 Marketing Info at that location.
  8. Repeat steps 5–7 for each location named in the error.
  9. Select Save.

 

Expected outcome: The read-only banner no longer appears for the listed locations, and the employee can edit Marketing Info — including Loyalty rewards and Email Marketing — at each location.

 

Note: The person making the change must hold permission code 8.2 (User Permissions) and permission code 4.8 (Marketing Info) at every location where they are granting it. Cause 4: Owner or Admin Can't Grant the Permission

Applies to: Owners, admins, or managers who are trying to grant the 4.8 Marketing Info permission (or any other permission) to another employee and either see the Toast error that says they cannot edit permissions they do not have themselves, see the checkbox grayed out, or get blocked from saving.

 

Likely cause: You cannot assign a permission you do not have yourself — even if you are the account owner. Toast blocks the change until your permissions meet or exceed those of the employee you are editing. This is the main reason owners and admins are unable to update another employee's permissions, and it is also why an owner may be unable to use Loyalty or Email Marketing themselves — the person who originally set up their profile did not hold the 4.8 Marketing Info permission.

 

To diagnose and resolve:

  1. Open your own employee profile in one browser tab and the other employee's profile in another tab.
  2. Compare the Jobs and Permissions sections side by side.
  3. Look for any permission that is checked on the other employee's profile but not on yours — especially 4.8 Marketing Info and 8.2 User Permissions.
  4. Ask another user at your restaurant who already has those permissions — in practice, the gatekeeper or super user — to enable them on your profile.
  5. After the gatekeeper updates your profile, sign out of Toast Web and sign back in.
  6. Try the change again.

 

Expected outcome: Once your profile has the same (or higher) permissions as the employee you are editing, the checkbox becomes selectable and Save succeeds.

 

Important: Toast Customer Care cannot reassign permissions on your behalf. The change must come from someone at your restaurant who already holds the required access. If no one at your restaurant has access, see Before You Contact Customer Care.

Cause 5: New Location Not Yet Synced With Toast Payroll

Applies to: Restaurants that added a new location or restaurant to Toast Web and now cannot access Payroll for that location.

 

Likely cause: Toast Payroll is a separate product with its own setup. When a new location is added in Toast Web, it does not automatically appear in Toast Payroll until the Payroll setup is completed for that location.

 

To resolve:

  1. Confirm the new location is visible in Toast Web using the location selector in the top-left corner.
  2. Confirm the employee profile has Restaurant Access at the new location and the required permissions enabled at that location — see Cause 2 and Cause 3.
  3. If the location still does not appear in Toast Payroll, the Payroll setup for the new location has not been completed.
  4. Specific steps to complete Toast Payroll setup for a newly added location depend on the restaurant's onboarding state and are typically driven by the Toast Payroll Implementation team. Toast Customer Care can confirm the current status of the Payroll setup for the new location.

 

Expected outcome: Once Payroll setup is complete for the new location, it appears in the Toast Payroll location selector and the employee can access it (subject to their Payroll-side permissions, which are managed separately from Toast Web).

You're Looking for the Toast Payroll Product, Not a Toast Web Module

Applies to: Users who cannot find Toast Payroll and are unsure whether it is a tab inside Toast Web or a separate product.

 

Toast Payroll is a separate product from Toast Web. It has its own login URL, its own user interface, and its own permission system. Inside Toast Web, the Payroll entry in the side navigation launches the Toast Payroll product — it is not a module inside Toast Web itself.

 

If you are unable to reach Toast Payroll at all:

  1. From Toast Web, select Payroll in the side navigation to launch Toast Payroll.
  2. If the Payroll entry is missing from Toast Web, your employee profile does not have access — follow Cause 2 to add restaurant-group-level access.
  3. If selecting Payroll does not redirect you to Toast Payroll, see Access Toast Payroll in Toast Web.

 

Note: Toast Payroll permissions are managed inside Toast Payroll — they are not the same as Toast Web permissions. Adding 4.8 Marketing Info in Toast Web does not give a user any Toast Payroll access.

Before You Contact Customer Care

Most cases on this page are self-service — someone at your restaurant with the right permissions can fix them. Contact Customer Care only when:

  • You're the only manager or owner at your restaurant, and your own profile is missing the permission you need to grant.
  • You've completed Cause 4 (gatekeeper updates your profile), and the new permission is not taking effect after sign-out and sign-in.
  • A new location is set up in Toast Web, but the Toast Payroll setup is stalled or incomplete (Cause 5).
  • The owner-of-record on your account is no longer with the restaurant, and access needs to be transferred.

 

Have the following ready before you reach out:

  • The exact error message you see (a screenshot is best).
  • The product (Payroll, Loyalty, or Email Marketing) and the location name where access is blocked.
  • The employee whose access needs to change, including their email address in Toast Web.
  • The permission you believe is missing (for example, 4.8 Marketing Info).
  • Whether your restaurant uses Multilocation Management (MLM).
  • Steps you have already tried — especially whether another user with 8.2 User Permissions has tried to grant the permission.

Frequently Asked Questions

Why can't I access Loyalty or Email Marketing — I'm the owner?

You can't access Loyalty or Email Marketing because the 4.8 Marketing Info permission is not enabled on your own profile — and being the account owner does not automatically grant every permission in Toast Web. Permissions are assigned per profile, and the 4.8 Marketing Info permission is the specific one that gates Loyalty and Email Marketing access. The person who originally set up your profile either omitted the 4.8 Marketing Info permission, or it was removed later. Ask another user at your restaurant who has both the 8.2 User Permissions permission and the 4.8 Marketing Info permission to enable it on your profile. If no one else at your restaurant has those permissions, see Before You Contact Customer Care.

 

What permission do I need to edit Loyalty settings?

You need the 4.8 Marketing Info permission to edit Loyalty settings in Toast Web. The same permission also controls Email Marketing access. Without it, you may see the No-Permission-to-Edit-Rewards-Config error in Loyalty or a read-only banner across the Loyalty pages. To enable it, follow Cause 1.

 

How do I give a user access to only Email Marketing or marketing features?

To give a user access to only Email Marketing or marketing-related features in Toast Web, enable the 4.8 Marketing Info permission on their profile and leave other admin permissions disabled. The 4.8 Marketing Info permission is the single permission that controls Loyalty and Email Marketing access. To create a marketing-only user from scratch, see Add and Manage Employees in Toast Web for the profile setup, then follow Cause 1 to enable the permission.

 

How do I give a co-manager the same permissions I have for Payroll, Loyalty, or Email Marketing?

To give a co-manager the same permissions you have, you must hold permission code 8.2 (User Permissions) plus every permission you intend to grant — at the same location. Open their profile under Employees > Employee management > Employees, select the Jobs and Permissions tab, and either assign them the same job that has the permissions bundled or enable each permission individually under the Permissions section. If a checkbox is grayed out, you do not have that permission yourself at that location — see Cause 4.

 

Can Toast Customer Care give me the permissions I'm missing?

No — Toast Customer Care cannot reassign permissions on your behalf. Permission changes must come from someone at your restaurant who already holds the required access — the gatekeeper, super user, or another admin who has permission code 8.2 (User Permissions). The only exception is when you are the marked owner of the account and no other user at your restaurant has the access needed to fix it — in that case, see Before You Contact Customer Care.
