Log in to Toast: Update Your Account

This guide contains instructions for updating your email address, password, or POS access code that you use to log in to a Toast system.

Update Your Toast Account Credentials

Your Toast account credentials (email address + password) give you access to Toast Web, as well as these other Toast platforms, depending on your permissions and the modules that your restaurant has:

  • Toast Payroll
  • xtraCHEF by Toast
  • MyToast
  • Toast Now
  • Toast Tables

 

Note: If you do not yet have an account and would like to create one, read Log in to Toast: Create an Account.

 

If you are able to log in and you need to update your account email address or password, you can do so in Toast Web.

  1. Log in and select the avatar icon that appears next to your name in the upper-right corner of the page. Then select Profile.
  2. In the Login and security section, you can update the email address or password for your account as needed. You can also make updates to multi-factor authentication. Visit Set Up Multi-Factor Authentication for more details.
    1. If you add an email address that's already part of an existing Toast account, you will receive a User with this email already exists error. Your manager can follow the steps in the article to assist you.
  3. In the Enhanced access section, you can update the verified phone number where you will receive a one-time passcode to enable elevated permissions and gain access to certain restricted pages, if you are permitted.   4. Select Save any time you make changes.

 

If you've forgotten the email address you use to log in, your employer can check your email address on file in Toast Web by locating your profile under Employees > Employee management > Employees.


If you’ve forgotten your password and cannot log in, follow these steps to reset it:

  1. Navigate to toasttab.com/login.
  2. Enter your email address and select Continue.
  3. Select the Forgot password? link.
    1. If this button displays an error or otherwise does not work, check out the Unlinked Toast Payroll Users - Update Account Credentials section below.
  4. Double-check the spelling of your email address and select Reset.
  5. Check your inbox for the reset password email and follow the instructions.
  6. If this process does not work for you or you cannot reset your password, contact Customer Care.


If you’ve forgotten your password and you no longer have access to your personal email account, contact Customer Care.


Note: To change a xtraCHEF email address, reach out to Customer Care or your Onboarding Consultant. Unfortunately, this isn't something you can change on your own within xtraCHEF.

Update Another Employee’s Toast Account Email 

If you have any of the 8.X Account Admin permissions or if you specifically have the 4.9 Employee Info permission in Toast Web, under certain circumstances, you can update an email address for an employee or invite them to create a Toast Web account.

 

  1. In Toast Web, navigate to Employees > Employee management > Employees.
  2. Search for the employee whose email you’d like to add or update.
    1. If you locate them and they have a checkmark in the Account Created column of their profile, you will be unable to edit or update their email address. The employee will need to follow the steps above in the Update Your Toast Account Credentials section.
  3. Select the last name hyperlink of this employee.
  4. Select the Profile tab.
  5. Edit the Email field.
  6. Select Save to finalize the changes.
  7. There are different outcomes of this work:
    1. If the employee did not previously have a valid email address on their profile and the email address you entered is not tied to any existing Toast accounts, the email address will be updated instantly.
    2. If the employee did not previously have a valid email address on their profile and the email address you entered is part of an existing Toast account, Toast will send out a verification email. When the employee selects the link in the email confirming this action, their email address will be updated and they will be consolidated into that existing account.
      1. If the employee doesn't select the link in the verification email, their email address will not be updated. This verification link expires after seven days.
    3. If the employee already has an email address/account and the email address you entered is part of an existing account, Toast will display a "User with this email already exists" error. In any case where an employee already has an account, other users cannot update their email. Only the employee themselves can update the email address tied to their account.

Update Your POS Access Code

You cannot update your own POS access code, but a user with the 4.9 Employee Info permission can update another user’s POS access code in Toast Web:

 

  1. In Toast Web, navigate to Employees > Employee management > Employees.
  2. Search for and select the last name hyperlink of the employee whose email you’d like to update.
  3. Select the Profile tab.
  4. Navigate to the Account information section and enter a new POS access code in the POS access code field.
  5. Select Save.

Unlinked Toast Payroll Users - Update Account Credentials

If you have a Toast Payroll account and you did not complete the unified login wizard during 2025, your email address is unverified and you will receive an error when you log in. The Forgot password? process will not work for you either.

 

  • If your email is correct, a manager can navigate to the Team page in Toast Payroll and select the envelope icon next to your name to reinvite you.
  • If your email is incorrect, a manager can navigate to your profile in Toast Payroll and select Profile > User Account. They will select Update and enter your correct email address. Now they can send the reinvite from the Team page.
    • If your email is incorrect and your manager cannot update your email, contact Customer Care.
