About View Update History

View Update History is the check audit log on the Order Details page in Toast Web. It shows information about a specific check that is not available in the Order Details report, such as the transaction type, the date and time of the transaction, and the name of the person who processed the transaction.

 

Restaurants often use this feature as an audit trail to confirm who made a change to a check. Common questions it answers include who reopened a closed check, who added or voided an item, and whether a check was transferred from one server to another.

What You Can See in the Update History

The update history lists each action taken on a check, in order, so you can audit how the check changed over time. For a single check, you can typically see:

  • The timestamp of each update
  • The name of the user who performed the action
  • The device the action was taken on
  • The type of action performed, such as reopening a check, adding an item, or transferring a server

 

Note: The update history is the official record for confirming who changed a check and when. If a payment was taken, it appears in the history; if an action is not listed, there is no record that it occurred.

Who Can Use It

View Update History is available in Toast Web on the Order Details page for a check. Access depends on your Toast Web permissions for finding checks and viewing payment details. The Toast Web permissions needed is Restaurant Admin > 4.24 Check Audit.

Access the Update History for a Check

  1. In Toast Web, navigate to Finance > Payments > Find checks & issue refund.
  2. Search for the check using any of the available options: Find by Check Number, Find by ID, Find by Customer Info, Find by Credit Card, or Advanced Search.
  3. Select the check you want to view.
  4. In the Order Details pop-up window, select View Update History.

 

Expected outcome: The Audit page opens and displays the update history for the check you selected.

What the Audit Page Columns Mean

The Audit page displays the check's history in columns. Each column answers a specific question about the change.

Known Limitations

The update history does not capture every scenario. Keep the following in mind so you know when the feature can answer your question and when it cannot.

  • Updates are stored for two weeks only. After that, they are permanently deleted, and the history for older checks appears blank.
  • The history may be missing some updates.
  • Red checks and detached payments do not appear.
  • Updates are sorted by order ID first, then by timestamp.
  • Searching by order ID overrides other filters, so any date you enter in the search is not applied.
