This article will help customers in Canada, Ireland, and the UK identify offline payments.
Every card transaction needs an active internet connection to be captured and authorized successfully. When there's loss of internet connectivity, payments are taken offline. During an offline payment, the card reader accepts the payment and stores it in the device until it reconnects to the internet. The stored payments are then processed after the internet connection is restored.
When an offline payment is taken, you will see the following alert pop-up below to let you know that an offline payment has been made: Alert offline payment: Offline payments require an active internet connection to process and may be prone to rejection or decline. You're responsible for any rejection or declined transactions in offline mode. Please contact customer care if you want to discontinue offline payments.
Taking card payments during a network disruption may carry risks because card payments cannot be authorized until the connection is restored. The payment can get declined for various reasons, including:
It is advisable to ask the guest to insert their card and enter in the PIN for an offline payment, as this will mitigate some of the risks
| You are liable for all declined or rejected offline payment transactions. |
If you want to cancel the offline transaction, you can do so by using the Void option in Toast Web by following this steps:
The void option is applicable only for offline transactions. Voiding the transaction means the payment is not processed and it is cancelled. This cannot be undone. You will have to take a new payment for that check. The check will show up as pending payment. Note that when a check reopens after an offline transaction is voided or declined, only the check will reopen, not the table associated with the check.
Note: If you void an offline transaction or when an offline transaction is processed and declined - the check will be reopened with pending payments status.
When the offline transaction is processed you will see the following notification on you screen: An offline payment for CHECK# has been processed.
You can either request to turn off offline payments or set a limit for each offline payment that your card reader can accept by calling Customer Care. Any offline payment above the limit you have set will not be processed during an outage. This cannot be set when the card reader is offline and has to be set prior to the outage. You can request limits to be set for a maximum amount that the card reader accepts for a single offline payment.
If you want to set up this particular transaction limit, please reach Toast Customer Care by phone. You can reach us at:
| Changes to one location do not affect your other locations unless you request it. The changes will be set separately for each card reader at any location. |
