Learn what a self-managed device (SMD) is, which Toast devices are eligible, your responsibilities, and how to switch your account.

About Self-Managed Devices

A self-managed device (SMD) is a Toast-issued hardware device where you install and use third-party Android applications that Toast does not provide or approve. By default, Toast devices are Toast-managed: Toast maintains the device software and only Toast-approved applications can run on them.

 

Self-managed access covers the applications you install. Toast continues to manage the Toast software and firmware on the device, and changes to those are not permitted.

 

Devices not purchased through Toast, such as iPads, Google Pixels, or Samsung tablets, are not self-managed devices. Toast does not support these devices, and Toast software on them shows a Device Not Supported banner with limited functionality.

 

Note: A self-managed device is not the same as a self-managed network. A self-managed device is a Toast device where you manage the applications on the device. A self-managed network is a network that you, or a third party you work with, manage instead of Toast. You do not need a self-managed network to use self-managed devices.

 

Switching to self-managed devices is the right fit if you want to:

  • Use your own Android package (APK) files on your devices
  • Use partner applications on your devices
  • Access Developer Options on your devices

Who Can Use Self-Managed Devices

Self-managed device support varies by device model.

 

These devices can be self-managed:

  • Toast Go® 2
  • Toast Go® 3
  • Elo V3
  • Elo V4
  • Toast Flex 3
  • Toast Flex 14"
  • Toast Flex 22"

 

Note: Toast Go® 3 devices that meet PIN transaction security (PTS) requirements cannot be self-managed. This includes Toast Go® 3 devices in international markets and Toast Go® 3 devices used with FreedomPay. Self-managed support on Toast Go® 3 also requires the latest device firmware, which Toast delivers to your devices automatically.

 

These devices cannot be self-managed because they meet PTS requirements:

  • Elo M60
  • Adyen S1

 

Peripherals such as printers, card readers, and scanners do not have device management restrictions.

How It Works

Every eligible Toast device includes Toast Guardian, a device management application that helps keep the device compliant with the Payment Card Industry Data Security Standard (PCI DSS) and prevents the installation of non-Toast applications. When your account switches to self-managed devices, Toast relaxes Toast Guardian's settings so you can install your own third-party Android applications. Toast Guardian remains on your devices and continues to provide its other functionality.

 

Toast continues to push software updates and to support the Toast application and Toast firmware on self-managed devices. Toast cannot support or troubleshoot issues caused by applications that Toast did not install.

 

Note: Devices shipped after your account switches to self-managed will arrive with the self-managed configuration already applied.

Your Responsibilities With Self-Managed Devices

Before switching, review what you take on as a self-managed device customer:

  • You are solely responsible for troubleshooting, maintaining, and managing any third-party applications you install on your devices.
  • You are fully responsible for maintaining PCI DSS compliance for your self-managed devices as part of your Cardholder Data Environment (CDE). Toast retains certain PCI DSS responsibilities, while others are shared between you and Toast. These details are outlined in the Toast Responsibility Matrix for Self-Managed Devices, available on the Toast Trust Center at https://trustcenter.toasttab.com.
  • Hardware failures caused by a third-party application you installed or software and firmware changes not provided or approved by Toast will void Toast's Limited Hardware Warranty for that device, and a warranty claim for it can be denied.
  • Hardware issues that are not related to third-party applications remain covered under Toast's hardware warranty and product lifetime policy.
  • Self-managed applies to all of the devices at a location, or none of them. If you have multiple locations, you can choose per location: some locations can use Toast-managed devices while others use self-managed devices.

Switch to Self-Managed Devices

To switch your account to self-managed devices:

  1. Contact Toast Customer Care or your customer success manager (CSM) if applicable and request to switch to self-managed devices.
  2. Review and sign the Self-Managed Device Responsibility and Information Forms, which Toast sends to you through DocuSign. These forms explain your responsibilities as a self-managed device customer.
  3. Toast configures your account and devices for self-managed use, and confirms with you when the change is complete.

 

Note: The forms are sent to the email address of the Toast Merchant Agreement signer or the finance contact on your account.

Add a New Location to Self-Managed Devices

If your account already has a signed self-managed device agreement, you do not need to sign a new one when you add a location. Contact your Toast representative and ask them to configure the new location for self-managed devices.

Switch Back to Toast-Managed Devices

You can return to Toast-managed devices at any time. Contact Toast Customer Care to request the change.

 

Keep the following in mind before switching back:

  • Any third-party applications on your devices will be removed and no longer accessible after the transition.
  • Your devices will need a firmware update. In most cases this happens automatically overnight. Some older devices will ask you to accept the update, similar to a Toast application update.

Can I use my own iPad or tablet as a self-managed device?

No, you cannot use your own iPad or tablet as a self-managed device. Self-managed devices are Toast-issued hardware only. Devices not purchased through Toast are not supported, and Toast software on them will show a Device Not Supported banner with limited functionality.

Will the applications I install work on a self-managed device?

Some applications may not work as expected on a self-managed device. Toast devices do not include Google Mobile Services (GMS), so applications that rely on Google Play Store functionality may not work as intended. You are responsible for any issues that come from the applications you install.

Can I change the software or firmware on a self-managed device?

No, you cannot change the software or firmware on a self-managed device. Self-managed access lets you install your own third-party Android applications. Toast continues to manage the Toast software and firmware on the device.

 

Do I need a self-managed network to use self-managed devices?

No, a self-managed network is not required to use self-managed devices. Managing your own devices and managing your own network are separate choices, and each has its own agreement.

 

Are self-managed devices available outside the US?

Yes, self-managed devices are available outside the US, and the process to switch is the same. Devices that meet PIN transaction security (PTS) requirements are not eligible, which includes Toast Go® 3 devices in international markets.

 

Do I need to sign a new agreement when I add a location?

No, you do not need to sign a new agreement for each location. If your account already has a signed self-managed device agreement, contact your Toast representative to have the new location configured for self-managed devices.

 

Why do I need self-managed devices to access Developer Options?

Developer Options are disabled on Toast-managed devices to maintain Toast's PCI DSS compliance standards. When your device is self-managed, Toast relaxes this restriction so you can access Developer Options. Self-managing your devices shifts responsibility for meeting PCI DSS compliance requirements to your organization.

 

Will Toast still update my self-managed devices?

Yes, Toast continues to push software updates to self-managed devices and supports the Toast application and Toast firmware. Toast cannot support the applications you install yourself.

 

Can some of my locations be self-managed and others Toast-managed?

Yes, if you have multiple locations, each location can be either self-managed or Toast-managed. Within a single location, all devices must be managed the same way.

 

Does switching to self-managed devices affect my hardware warranty?

Switching alone does not affect your warranty. Hardware issues unrelated to third-party applications remain covered. A hardware failure caused by a third-party application you installed voids the Limited Hardware Warranty for that device.
