Set Up Payments

The Payments tab sets which methods customers can use at checkout. Payment settings apply to all customers unless you add an exception. Credit card starts as Accepted, and Automated Clearing House (ACH) bank transfer starts as Not accepted.

Enable ACH Bank Transfer

  1. Select Enable ACH.
  2. Review the fee disclosure and the additional terms.
  3. Check both checkboxes to accept the beta agreement and the fee consent.
  4. Select Enable ACH Payments.
  5. Select Set up ACH and complete setup.

Expected outcome: ACH Payments appears in the Wholesale sidebar, where you can view payouts, disputes, transactions, and documents.

Edit Accepted Payment Methods

  1. In How customers pay, select Edit.
  2. Enable or disable ACH bank transfer and Credit card.
  3. To charge customers a fee for ACH, select Add one next to Processing fee.
  4. Select Save.

Expected outcome: Customers see only the payment methods you accepted at checkout.

Note: A new processing fee only applies after you publish the fee. If you disable both payment methods, you're asked to confirm, because customers can no longer pay online.

Add Payment Exceptions

Exceptions let a specific company or location pay differently from your default.

  1. In Edit mode, select Add exception.
  2. Choose a company or location.
  3. Choose its payment methods: ACH and credit card, ACH only, Credit card only, or No online payments.
  4. Select Save.

Expected outcome: The company or location uses its exception instead of your default payment methods.

Set Up Ordering

The Ordering tab has three pages: Ordering profiles, Fulfillment time, and Inventory.

Create an Ordering Profile

Ordering profiles require Toast Wholesale Pro.

An ordering profile sets when and how customers can order. Locations without a profile are flagged in a banner.

  1. Select Create profile and enter a profile name.
  2. To make this the default profile, enable Default profile.
  3. Choose a setup type: Delivery schedule (set days) or Lead time only (set hours of notice).
  4. Under Fulfillment methods, enable Delivery, Pickup, or both. For each, choose the delivery or pickup days.
  5. Set the order cutoff as a number of days before plus a cutoff time.
  6. Optionally, set an order minimum or maximum and add service charges.
  7. Review What a customer sees and Assigned locations.
  8. Select Save profile.

Expected outcome: Customers at the assigned locations can only order within the profile's days, cutoffs, and limits.

Set the Default Fulfillment Time

  1. On the Fulfillment time page, select Edit.
  2. To let customers choose a date only, enable Hide fulfillment time from customers.
  3. Adjust the default fulfillment time.
  4. Select Save. If open or upcoming orders are affected, you're asked to confirm.

Expected outcome: New orders use the updated default fulfillment time.

Hide Out-of-Stock Items

Inventory settings require Toast Wholesale Pro.

  1. On the Inventory page, select Edit on Out of stock items.
  2. Enable Hide out of stock items from Toast Supply.
  3. Select Save.

Expected outcome: Customers don't see out-of-stock items when they order in Toast Supply.

Set Invoice Defaults

The Invoices tab sets defaults for every new invoice.

  1. Set the default due date as a number of days before or after the order date. It starts at 30 days after.
  2. Under Reporting, your revenue center will be set to Wholesale.
  3. Select Save.
  4. Select Edit invoice template and choose what shows on invoices.

The invoice template includes these options:

  • Invoice header: invoice number, invoice date, order date, payment date, TABC stamps, and custom fields
  • Company information: company name, contact name, contact email, and tax ID
  • A default memo
  • Branding overrides: business name and display address

Expected outcome: New invoices use your default due date, revenue center, and template.

  2. Choose which emails each recipient gets: Purchase order requests from Toast Supply (on by default), Orders created in Toast Wholesale, Invoice paid, and Invoice past due.
  3. In the Reply-to email card, enter the address customer replies go to and select Save.

Expected outcome: Your team gets the order and invoice emails you chose, and customer replies go to your reply-to address.

Custom fields add your own data to companies, locations, and invoices. Text is the only field type for now.

  1. Open the Companies, Locations, or Invoices tab and select Add field.
  2. Enter a field name.
  3. Select Save.

Expected outcome: The new field is available on companies, locations, or invoices, depending on the tab you used.

To retire a custom field, archive the field. Select Show archived to see or restore archived fields.
