Enter Toast Delivery Services® Orders by Phone

Toast Delivery Services® allows restaurants to take delivery orders over the phone from guests who prefer to call the restaurant. 

You can place Toast Delivery Services® orders on the Toast POS by using the Toast Delivery Services® dining option. This allows you to accept delivery orders over the phone. This enables you to accept and fulfill more orders, increasing revenue and employee productivity.


Note: When collecting payment information for a Toast Delivery Services® phone order, it's recommended that you ask customers if they'd like to leave a tip for their driver. We've seen that drivers are more likely to accept a Toast Delivery Services® phone order with a tip attached. Additionally, clarifying that this tip is for the driver, not the restaurant, might be a good idea. When placing a Toast Delivery Services® phone order on the POS, tips for the driver need to be included in the original payment authorization to be sent to your delivery provider.

Toast Delivery Services® Phone Orders 

To place a Toast Delivery Services® order that is called in by phone, follow the steps below:

 

  1. Navigate to Quick Order or Delivery Mode to start a new order.
  2. Select the Toast Delivery Services dining option and follow the prompts. This is an important step, otherwise, the order will not get sent to your Toast Delivery Services® provider.
  3. Enter the guest's phone number first. 

    Note:
    Ensure that it is a valid telephone number.

  4. Next, enter the following guest information:
    • First and Last Name
    • Delivery Address
    • Special Instructions for Delivery
    • Consent from the guest to receive updates from the Delivery Provider via text message.

  5. Select Done.

    Note:
    Once you select Done, we will verify if the address is unverified. Verifying the address will validate the delivery address with our delivery provider to confirm that it is within a serviceable area and compute the distance for distance-based delivery fees. 

    If an exact match for the address isn’t found during the address verification process, you will be prompted to select one of the recommended addresses.

    If the address and other information are validated, you'll be taken to the order screen to continue placing the order.
     
    If there's an error with the address or other information, an error message will appear, and the order won't be able to progress. Below is a list of possible error scenarios:
     
    Toast Internal Errors:
    • "Third-party delivery is currently unavailable"
    • "Delivery from the delivery provider is currently disabled"
    • "Restaurant configuration for delivery is incomplete or invalid"
    • "An internal error occurred checking availability"
    • "There was an error communicating with the delivery provider"

      Delivery Provider Errors:
    • "Delivery provider did not recognize the restaurant pickup address"
    • "Delivery provider does not serve the restaurant pickup address"
    • "Delivery provider did not recognize the drop-off address"
    • "Delivery provider does not serve the drop-off address"
    • "Maximum allowed order for delivery provider is $X"
    • "Delivery provider pickup time must be at least X minutes in the future"
    • "Delivery from provider is only available from X time to X time"
    • General Error:
    • "Delivery unavailable, please contact the delivery provider for more information"
  6.  Upon successful initial validation, continue adding items and placing orders.

    If you're creating a scheduled delivery order, please be aware that you'll assign a delivery pickup time, not a drop-off time. You will want to consider this behavior when setting expectations with your patrons.

    Note:
    If there is an error at this point in the process (e.g., order too small or large), an error message will display, and the order will be canceled.

  7. After adding items, proceed to the Pay screen. This is where you will enter your guest's payment information and tip selection if applicable.

    Note:
    Only credit cards are accepted with this feature.
  8. Once credit card information is entered and the payment is complete, you can view the status of an order on the Delivery screen, just as described above for Online Orders.

When placing a Toast Delivery Services (Toast Delivery Services®) phone order on the Point Of Sale (POS), tips for the driver must be included in the original payment authorization sent to your delivery service provider.

 

  1. If you are on a POS device with Digital Receipts disabled, you must manually key in a tip before hitting “credit” and taking the card payment. 
  2. If you are on a POS device with Digital Receipts enabled, you’ll need to input a tip during the workflow after the credit button in the Digital Payments workflow.

Enter Toast Delivery Services® Tips When Digital Receipts are Not Enabled

Follow the steps below when placing a Toast Delivery Services® order on the POS.

 
  1. Add a tip for the delivery driver by entering a tip in the Tip field on the payment selection screen.

  2. Select Credit to enter the guest’s credit card information and submit the order.
 

Note: You can also toggle the Digital Receipts workflow from the overflow menu on the payments page in the POS. On the payment selection screen, in the overflow menu, you can turn digital receipts on and off for a single transaction without impacting the device-level settings.

Enter Toast Delivery Services® Tips When Digital Receipts are Enabled

When placing a Toast Delivery Services® order on the POS, add a tip for the delivery driver by selecting from one of the pre-set tip amounts or by placing a custom tip through the Digital Receipts workflow.

Enable Digital Receipts on a POS Device

You will need to enable digital receipts on each POS device.
 
  1. Navigate to the settings page of your POS device, then scroll down and select Device Setup from the Setup section.

  2. Select Digital Receipts and then select Yes, use digital receipts.
  3. Make sure to Save your changes.
  4. In Toast Web, navigate to Takeout & delivery > Availability > Takeout/delivery. Scroll down to Receipt Printing and confirm Override Digital Receipts is set to No.

  5. In the Toast Web, enable tipping on digital receipts by navigating to Payment methods > Payment options.
  6. From here, navigate to Digital Receipt Options  > Tips Enabled, and select Yes, to show the tip dialog.

  7. Save and publish your changes!
