Common Scenarios: Multiple User Permissions

Answer

There may be instances in which a user will need additional user permissions that are not part of their job role in order to perform certain actions in Toast Web or on the POS. In such cases, permissions should be assigned at the individual level to override job-based permissions. Please see Assign User Access Permissions to learn how user permission overrides work.

 

Below are some example scenarios in which multiple user permissions may be required:

 

  • Access the Cash Drawer, View and Update the Cash Drawer History Report, and Other Cash-Related Reports
    • For instance, administrators who only perform backend work may have limited permissions and may not be aware that they would need permission 1.7 in order to adjust the cash drawer at any point, or that they would need additional user permission to update the Cash Drawer History report, or other cash-related reports.  To enable users to view the said reports, apply cash payments against a check's balance, and make adjustments to the cash drawer at any point, they must have the following permissions: 
      • 1.6 Apply Cash Payments
      • 1.7 Cash Drawer Access
      • 4.1 Sales Reports
      • 4.2 Menu Reports
      • 4.3 Labor Reports
      • 8.1 Financial Accounts

 

Note:  Aside from the required access rights, employees who have permissions 1.6 and 1.7 must ensure that the device that they're using is configured to allow cash payments for it to work. Please see the Device Settings section of this article Get Help With Cash Drawers to learn how to configure it.

 

  • Manage Void Items/Orders and Apply Discounts
    • Administrators who need to apply discounts to items and orders and manage void items and orders at the same time will need access to both user permissions 3.1 and 3.7.
