Set a Count on Menu Items

Question

  • How can I make sure guests can't purchase specialized or limited items once I've run out?
  • How do I make sure that guests can't purchase "out of stock" items?
  • Is there a way to add an inventory count to menus so that guests can't purchase them once items are sold out?

Answer

In order for quantity-based stock to decrease automatically when items or modifiers are sold, the following conditions must be met:

  • There must be an auto-firing device set up and running. Learn more about setting up an auto-fire device in this Support Center article, Set Up Order Auto-Firing.
  • The restaurant must not be in Test Mode.
  • If Send orders after check is paid is set to On (in Toast Web on the Front of house page in the Order screen setup section), stock will decrease after the order is paid.
  • If Send orders after check is paid is set to Off, stock will decrease when the order arrives/is sent.

 

  1. In Toast Web, navigate to Menus > Bulk management > Advanced properties.
  2. Select the Show/Hide drop-down and choose Inventory from the list.
  3. Use the arrow (>) icons to expand your menus and groups until you find the specific item you'd like to add a count to.
  4. Enter the number of items you wish to make available.
  5. Repeat as desired for other items, then save and publish your changes.


Once the item is sold out, it will automatically show as "Out of Stock" on your online ordering page until you repeat steps the above steps and enter a new quantity.

Additionally, quantity can also be set on the item detail page under the Inventory section at the bottom of the page.
