Quarterly Employee Payroll Audit Report (QEPAR)

The QEPAR generates quarterly and year-to-date (YTD) earnings, deduction, and tax information for each employee. It is the most commonly requested report for workers comp, EDD, insurance, and DOL audits because it covers a long time period in one file.

 

The QEPAR can be filtered by FEIN and year, but only one of each may be selected at a time.

 

Where to find it: In Toast Payroll, navigate to Reports > Standard and search for QEPAR.

 

Reading the columns:

  • Tax: Offers the type of tax (Federal, State, SUTA, etc.).
  • YTD: Shows the year-to-date (YTD) amount of the tax that was withheld.
  • Q1, Q2, Q3, Q4: Breaks the YTD amount of taxes withheld out by quarter.
  • Subject Wages: Shows the amount of earnings YTD that were considered for that tax (gross minus pre-tax deductions).
  • Subject Wages Q1, Q2, Q3, Q4: Breaks down the YTD subject wage amount by quarter.

 

Note: The QEPAR is a long report when all data fields are selected. For a single-quarter audit, consider running the PEPAR instead.

Per Pay Period Employee Payroll Audit Report (PEPAR)

The PEPAR shows pay period data for calculated and submitted payrolls, including demographic, earning, deduction, and tax information for each payroll.

 

You can adjust which data fields appear before running the report.

 

Where to find it: In Toast Payroll, navigate to Reports > Standard and search for PEPAR.

 

Selecting multiple pay periods: When setting up the report, hold the Ctrl key (Windows) or Command key (Mac) and select each pay period you want to include.

Hours / Earnings by Date Range

This report is useful when your business is tracking timekeeping or details over a time period. You can set an exact date range and customize the data into one of five formats.

 

Where to find it: In Toast Payroll, navigate to Reports > Standard and search for Hours / Earnings by Date Range.

 

Five formats:

  • Summary - Group Employees by Earning Code by Date: Hours, rates, and total wages per day and per Job (not per employee).
  • Summary - Group Employees by Earning Code: Hours, rates, and total wages per Job only (not per day or per employee). The most compact format.
  • Summary - Expand by Employee: Hours, rates, and total wages per employee (not per Job or per day) within the specified time period.
  • Detail - Expand by Employee: Hours, rates, total wages, and approved timesheets per employee per day (not per Job). Breaks regular and overtime hours apart for timekeeping tracking.
  • Detail - Expand by Employee with Punch Info (if available): Each employee per day with exact time punches, whether they were adjusted and by whom, and timesheet approval status. The most detailed timesheet format.

 

Note: If the auto-approve timesheets feature is enabled, timesheets appear on the Detail formats once the associated payroll has been started.

 

Recommended settings and limitations:

  • Leave Include Deleted Historical Updates set to No for a more accurate view of your data.
  • This report pulls from timesheet data, not submitted payroll data. Adjustments made to employee hours or earnings on the Employee Earnings step of payroll do not appear here. To see those adjustments, run a report specific to your payroll. Those reports are on the payroll confirmation page or under Payroll > Past Payrolls > View > Reports.
  • Toast Payroll does not have a report that provides an average number of hours worked. To calculate it, run the Hours / Earnings by Date Range report and average manually.

Payroll Summary Report

The Payroll Summary Report is generated after you calculate and submit a payroll. It is the best report for a one-page breakdown of where each payroll's monies will be used — payroll costs, paper (live) check and direct deposit totals, tax breakdowns, and more.

 

Where to find it: HR+ users can find each pay period's summary report under Payroll > Past Payrolls tab > View > Payroll Summary Report.

 

To pull totals across multiple payrolls in one report, use the Consolidated Payroll Summary Report.

 

Note: You can also try using Toast IQ to view your Payroll Summary data in different ways — for example, "What is the total amount of all the Uniform deductions last year?" or "Consolidate my [pay group] payroll summary reports for the last 90 days." Consolidated Payroll Summary Report

The Consolidated Payroll Summary Report sums multiple payrolls into a single report. Use it to see year-to-date totals across pay periods, totals for one location, or totals for one pay group across a date range.

 

Where to find it: In Toast Payroll, navigate to Reports > Standard and search for Consolidated Payroll Summary Report.

 

Common uses:

  • Year-to-date payroll totals across all pay periods
  • Multi-payroll review for tax reconciliation
  • Location-level totals (multi-location businesses)

Employee Detail Report

The Employee Detail Report is generated after calculating and submitting a payroll. Each employee's paystub appears on one page with their earnings, deductions, and net pay. Use it to quickly check whether each employee's hours, earnings, deductions, and net pay are correct before submitting.

 

Where to find it: HR+ users can find this report under Payroll > Past Payrolls tab > View > Employee Detail Report.

To pull an employee's paystub for a submitted payroll, run the Employee Detail Report. HR+ users find it under Payroll > Past Payrolls tab > View > Employee Detail Report. Each employee's paystub appears on its own page with earnings, deductions, taxes, and net pay.

Is there a report that gives an average number of hours worked?

At this time, Toast Payroll does not have a report that provides an average number of hours worked. To get this number, run the Hours / Earnings by Date Range report and calculate the average manually for the period you need.
