Toast Payroll: Pay Change After a Set Number of Hours

Can I increase an employee's pay for only a certain number of hours in a pay period?

There is no automated way to do this in Toast Payroll. If you'd like to give an hourly employee a wage increase for a certain amount of hours on a payroll or you need to configure special pay for a select number of hours, you'll need to do this manually. Here's the steps for what this might look like:

1. Begin by running the Hours / Earnings by Date Range report.
   1. Navigate to Reports > Standard.
   2. Select the blue eye icon and then select Queue.
   3. Select the appropriate location(s), date range, and choose the Detail - Expand by Employee report type.
2. With this in hand, you can easily see each employee's hours all at once in order to determine which hours should contain the increase.
3. Next, you'll want to make changes to the step of payroll (once you're ready to process payroll). In short, this step has you removing hours from the REGULAR earning code and re-adding them with the same earning code, but at a different rate.
   1. First, locate the employee on this page. Select the three dots to the right of their REGULAR earning code and choose Edit earning.
   2. Using your report from step 1 (or other calculations), determine how many hours should remain with the standard or default rate. Edit the Hours field to this amount, being sure to take note of how many were subtracted, and select Change earning.
   3. Now select + Add earning for this employee.
   4. Use the same REGULAR earning code as before and add in all the hours you subtracted a couple steps ago.
   5. Next, select Advanced Options and edit the Earning Rate field to display the new wage that should apply to this set of hours.
   6. Once you select Add earning, you've completed the work for this employee. Repeat the steps for any other employees this scenario applies to before calculating and submitting this payroll. Note: These are one-time changes that will only apply to this payroll.
