This error message occurs while trying to create a new hire in Toast Payroll or while trying to edit an existing employee's Social Security number (SSN). In all cases, first verify the SSN with the employee to ensure its accuracy.
In order to avoid creating a new profile for an employee who (presumably) already has one, use the Search employees bar in the upper-right corner to locate a prior profile and follow the steps in .
If you're trying to edit an existing employee's SSN and you receive this error, you can download a report containing all SSNs in Toast Payroll to locate where else this SSN exists. An HR+ user should navigate to Settings > General Setup > Employees. Begin by selecting the Start button in the Update existing employees section. Toggle the Settings, Position, and Termination data points to No and then select Next. Now select Download to receive the file. SSNs will appear in column AA (or somewhere near column AA). We recommend removing or deleting this document from your device once you're finished with it as it contains a lot of sensitive personal information.
