Toast Payroll: Security Access Permissions and Audit

Understand the Employee Permissions (Security Access) page in Toast Payroll and what each tab does.

Security Access and Permissions Page

The Permissions page details information on an employee's Security Access. This page will show their security role, what pages and functions they have access to, and what pages or actions they have recently visited. It can be useful for discovering the boundaries of a custom security role an employee has or if an employee has made any updates to the system. Begin on an employee's profile. Navigate to Profile > Permissions. Three tabs are found here and each tab has a section below.

Users Tab

  • This page displays the employee's current security role and then any Access Restrictions for hourly and salaried employees, but this is not typically used.
  • If this employee has a Manager or higher security role, the Supplemental Employee Access section will be visible and can be used grant them full control over another listed person's profile, regardless of security role or other constraints. It also lists the users that the employee can access.

Pages Tab

On this tab is an exhaustive list of all parts of the system that an employee has some capability to use. It is highly recommended to use the search bar to quickly find a certain feature.

 

  • View access lets this person see the page.
  • Edit access will allow that person to make changes to that page.
  • Approve is used rarely, but will allow the same type of access as Edit.

Audit Tab

Note: This page can take between 30 seconds and two minutes to load. This is expected behavior.

 

If you are looking for what an employee has done within the system, this page can be used for tracking. It shows any page the employee has accessed, the action that was taken, the IP address of the device used to take this action, and the day and time this was performed. The Audit tab is also helpful in determining if an employee has recently logged in successfully or if their password has recently expired for general login troubleshooting.
