Find out why a Toast deposit is smaller than your credit card sales, using the Payout Overview and Sales Summary reports.

Overview Steps

  1. Find the deposit total in the Payout Overview report.
  2. Find your credit and debit card sales total for the same sales date in the Sales Summary report.
  3. Subtract processing fees and any withholdings shown on the payout.
  4. Check for unpaid orders and for payments that settled in a different batch.

 

Your deposit is your card payments, minus processing fees, minus any withholdings. It is never the same number as your total sales.

Compare the Right Two Numbers

Most mismatches come from comparing a deposit to the wrong sales figure.

 

  1. In Toast Web, navigate to Reports > Payments > Payout overview.
  2. Select Sales day so the report is organized by the date the sales happened.
  3. Find the row for your sales date, then select it to open the payout details.
  4. Note the Total payments figure and the net amount deposited.
  5. In a new tab, navigate to Reports > Sales > Sales summary and set the same date.
  6. In the Payments Summary section, find the Credit/Debit total.

 

Expected outcome: You have two numbers to work with: what your customers paid on cards, and what Toast deposited.

 

Note: Use the Credit/Debit total in Payments Summary. Do not use Net Sales or the Revenue figure. Those include cash, gift cards, and other tenders that Toast does not deposit, and they have amounts deducted that do not show up in payment reports.

If the Gap Matches Your Processing Fees

Card processing fees come out before the money reaches your bank. This is the most common reason a deposit is smaller than card sales.

 

  • If you are billed monthly: card sales, plus card tips, minus card processing fees, minus chargebacks, minus other fees, equals your deposit total.
  • If you are billed daily: payments, minus daily fees, minus other withholdings, minus refunds, equals your deposit total.

 

To see fees by card type, navigate to Reports > Payments > Daily card activity or Reports > Payments > Deposit totals overview. For a full statement of what you were charged, see Understand the Processing Statements Report.

If You See a Withholding Line

Open the payout row in Payout Overview and review the Withholdings section. Withholdings are amounts taken out of a deposit for something other than card processing.

 

  • Toast Capital. A loan repayment holdback. See Toast Capital: Loan Repayments and Your Deposits.
  • Instant Deposit and Instant Deposit fee. If you took an Instant Deposit, that amount and its 1.75% fee come out of your next scheduled deposit. See Instant Deposit FAQ.
  • Easy Pay. A hardware lease payment.
  • Chargebacks. A disputed payment that was returned to the cardholder. Chargebacks are netted out of your deposit automatically. See Chargebacks FAQ.
  • Marketplace Facilitator Tax. Tax remitted on your behalf for orders placed through a marketplace.

 

Note: In the Deposit totals overview report, these amounts are grouped together in an Other column rather than listed separately. Open the payout in Payout Overview to see them broken out.

If Some Orders Were Never Paid

An unpaid order counts toward your sales but produces no deposit, because no payment was ever taken.

 

  1. In Toast Web, navigate to Reports > Sales > Paid in total.
  2. Review the unpaid orders for the date you are checking.
  3. Subtract those amounts from your sales figure before comparing to the deposit.

 

Expected outcome: Your sales figure now reflects only orders that were actually paid.

If the Gap Is Only a Few Cents

A difference of a few cents between reports is rounding, not missing money. The total in Payout Overview is the amount that was sent to your bank. If a third-party accounting or inventory tool you connect to Toast shows a slightly different number, use the Payout Overview total as the source of truth for what you were paid.

Frequently Asked Questions

Why doesn't my deposit match my Sales Summary?

Your deposit does not match your Sales Summary because Sales Summary reports what was rung in, and your deposit reports what was paid out. Cash, gift cards, unpaid orders, processing fees, and withholdings all sit between the two. Compare the deposit to the Credit/Debit total in Payments Summary.

What does the Other column mean?

The Other column groups the fees and withholdings that were deducted from that deposit beyond standard card processing, such as Instant Deposit fees, Toast Capital repayments, and Easy Pay payments. To see them itemized, open the payout in Reports > Payments > Payout overview.

 

Does Toast deposit my cash sales?

No, Toast does not deposit cash sales. Only card payments processed through Toast are deposited into your bank account. Cash stays in your restaurant.

 

Why did my deposit go down after I used Instant Deposit?

Your deposit went down because an Instant Deposit is an advance on money that would otherwise arrive in your next scheduled deposit. The amount you took, plus the 1.75% fee, is deducted from that next deposit. See Instant Deposit FAQ.

 

Why is there a deposit for a day I did not expect one?

A deposit can appear on an unexpected day when a batch closed after 9:30 p.m. ET, when more than one batch closed in a day, or when a chargeback you disputed and won was credited back to you. A won chargeback arrives as money in, which can make a deposit larger than expected.
