Toast Payroll: State Withholding and UI Tax Notice Examples

When you receive withholding or unemployment tax notices from state agencies, navigate to Toast Payroll to update your state tax account information.

The following are examples of state tax account notices you may receive from state agencies. The related notices you receive may look different, but most likely contain the same general information. If you receive a tax notice, a "missing payment" notice, a "taxes not filed" notice, or updated state tax information from a state agency, navigate to Settings > Payroll > Tax Accounts to make any applicable changes or additions to your state tax accounts.

 

Tax Filing Frequency Change

This type of letter indicates when tax filing schedules change. They can announce increases or decreases in frequency. Toast Payroll needs to know of these changes to file with your state agencies accordingly.

Form 941 Filing Frequency Change - Deposit Requirements

This type of letter shows how often a business is required to send payments to the IRS. The assigned payment schedule (monthly, semi-weekly, or the next day) is determined by the IRS based on reported wages from prior quarters, also known as the lookback period.

Tax Rate Notice / UI Tax Rate Notice / Contribution Rate Notice

Every year, state agencies assign unemployment contribution rates for each business based on the amount of unemployment benefits paid to former employees during the lookback period. When rates are determined, the state will send a letter to the business notifying them of the determined rate. See all three examples below.

In Toast Payroll, navigate to Settings > Payroll > Tax Accounts to make any applicable changes.
