Toast Inventory: Stock Depletion (Canada, Ireland and UK)

Toast Inventory's Stock Depletion feature automates ingredient tracking by decrementing "Stock on Hand" levels in real-time based on sales and recipe data, providing immediate visibility into low-stock items and reorder needs between physical counts.

Stock Depletion Overview

Your menu item recipes drive stock depletion in Toast Inventory. This feature allows the system to automatically track how your inventory is used as sales are made, providing a more accurate view of your current stock levels between physical counts.

How Stock Depletion Works

The accuracy of stock depletion relies on a solid foundation of your recipes and your last physical count.

 

  • Recipe Dependency: You must set up recipes that connect your menu items to the correct inventory ingredients. This is a prerequisite for depletion to function.
  • Automatic Depletion: Once a recipe is marked as "complete" (not "draft"), the system automatically decrements the stock every time that menu item is sold.
  • Starting Point: Depletion counts down from the "Stock on Hand" quantity recorded during your most recent physical stock check.
  • Example: If you recorded 5kg of potatoes during a count, every sale of chips will subtract the required amount from that 5kg total.

Monitor Your Stock Levels

The results of your stock depletion are most visible on the Reorder Suggestions page. In Toast Web and navigate to Inventory > Reorder suggestion (found under Purchasing in the navigation menu).

 

  • Out of Stock: When an item's calculated stock hits zero, it appears on the list with an Out label.  When you run out of an item, you can update your POS by 86ing the item to mark it as out of stock. For more information see  86 an Item on the POS or Toast Web.
  • Low Stock (Par Levels): If you have set a par level for an ingredient, the item will receive a Low tag once depletion causes the stock to drop below that level.
  • Stock on Hand Figure: This figure decrements with every sale. You can click any item in the list to view more detailed data.

Updating Stock on Hand

Your stock on hand figures will be impacted by a number of actions which are listed below:

 

  • Stock Checks: Performing a new physical stock check overrides the calculated figure with a new, verified "Stock on Hand" total.
  • Receiving Deliveries: When you receive a delivery in the system, it increases your "Stock on Hand" figure.

 

Items automatically move off the Reorder Suggestions list once they are back in stock or exceed their par level.

Prep Recipes and Depletion

Prep recipes (such as soup bases or sauces) are unique because they function as both a recipe and a standalone ingredient.

 

  • Depletion as an Ingredient: When a prep item is used within another recipe (e.g., a "Fruit Salad" prep item used in a dessert), the system depletes the stock of the prep item itself, rather than its individual raw components.
  • Par Levels: You can set par levels for prep items just like single ingredients.
