Toast Payroll: Sync Information With Toast Web

It's essential that information is entered in the appropriate places. Use this guide to determine where to update info in Toast Web or Toast Payroll.

Note: The information on this page only applies to users of both Toast Web and Toast Payroll.

Permissions needed:

  • Toast Payroll: HR+ access (or another role with employee management permissions)
  • Toast Web: Employee management permissions for the affected location

 

What you'll accomplish: Identify why a piece of information — a timesheet, tips, a pay rate, a job, or an employee profile — did not sync between Toast Web and Toast Payroll, and resolve it without needing to contact Customer Care.

Overview Steps

Toast Web and Toast Payroll are designed to work together. Most updates sync automatically once an employee's profile is mapped (linked) between the two systems. When something doesn't sync, the cause is almost always one of these:

 

  • The employee's Toast Web and Toast Payroll profiles are not mapped, or are mapped to the wrong profile
  • A duplicate Toast Web or Toast Payroll profile exists for the same person
  • The update was made on the wrong side (for example, editing a time entry in Toast Payroll instead of Toast Web)
  • A timing or trigger condition has not been met yet (for example, a brand-new profile takes up to one hour to appear in Toast Web)

 

If an employee's profiles are mapped correctly, their time entry, tip, job, position, pay rate, and employee status sync automatically and immediately between the two systems. To resolve a sync issue, work through these steps in order:

 

  1. Confirm the employee's profiles are mapped — see the Employee Profiles Need to Be Mapped or Remapped section below.
  2. Check the Quick Fix table for your specific symptom.
  3. Confirm you are making the update on the correct side — see Find Where to Make Each Update.
  4. Work through the matching decision tree section below.

 

Note: Toast Payroll and Toast Web also include Duplicate Profile Detection. When you try to add an employee who appears to already exist, Toast warns you and offers to use the existing profile instead. Following the prompt prevents most mapping problems before they start. Timesheets or Hours Aren't Syncing to Toast Payroll

When timesheets or hours don't appear in Toast Payroll, the cause is almost always profile mapping, the Timesheet Tied to Payroll setting, or a duplicate Toast Web profile.

 

If the Employee Has No Timesheet at All in Toast Payroll

Most likely cause: the active Toast Web and Toast Payroll profiles are not mapped together.

 

  1. Open Toast Payroll and navigate to Settings > Toast > Employees.
  2. Find the employee in the Employee Mapping list.
  3. If the employee shows as unmapped, complete the mapping. For full steps, see Toast Payroll: Manage Employee Mapping.
  4. If mapping is correct but the timesheet is still missing, check for a duplicate Toast Web profile. Toast Web duplicates are typically caused by adding an employee in Toast Web first and hiring them in Toast Payroll second. See Toast Payroll: Duplicate Profile Detection in Toast for resolution steps.

 

Expected outcome: The employee's timesheet appears in Toast Payroll within a few minutes of mapping or duplicate-profile resolution.

 

If Time Entries Appear in Toast Web but Not in Toast Payroll

Most likely cause: the Timesheet Tied to Payroll setting on the employee's Toast Payroll profile is set to No.

 

  1. In Toast Payroll, open the employee's profile.
  2. Select the > caret icon to the right of the employee's primary job.
  3. On the next page, select Edit.
  4. Verify Timesheet Tied to Payroll is set to Yes.

 

Expected outcome: New time entries from Toast Web begin appearing in the employee's Toast Payroll timesheet immediately. Past time entries that were missed while the setting was No may need to be added manually — see Toast Payroll: Manage Timesheets.

 

If a Single Time Entry Is Missing or Incorrect

All time-entry edits happen in Toast Web. Time entries cannot be edited in Toast Payroll, and changes made to a Toast Payroll timesheet do not sync to Toast Web time entries.

 

 

Expected outcome: The corrected time entry appears in Toast Payroll within a few minutes.

 

If Hours Aren't Syncing After a Recent Edit

If you have already approved timesheets in Toast Payroll, edits made later in Toast Web will not appear in Toast Payroll until the timesheet is unapproved. To bulk un-approve, see Toast Payroll: Bulk Un-Approve Timesheets.

 

If unapproving and re-approving doesn't trigger a re-sync, you can manually trigger one:

 

  1. In Toast Web, navigate to Reports > Labor > Time entry management.
  2. Locate the affected shift.
  3. Adjust the Time in or Time out field by one minute.
  4. Select the Save Changes button.
  5. Repeat the adjustment, returning the time entry to its original value.

 

Expected outcome: This forces a resync between Toast Web and Toast Payroll, and the corrected entry appears in Toast Payroll.

Tips Aren't Syncing Correctly

Note: If you import tips from Toast Web by using Toast Tips Manager or Toast Payroll: Custom Payroll Imports, this section does not apply.

 

Credit card and declared tip edits made in Toast Web sync to Toast Payroll instantly. Tips that don't appear are usually caused by an open shift, missing mapping, or a duplicate profile.

 

If Tips Are Missing for One Shift

Most likely cause: the shift is still open in Toast Web. If there is an open shift, that employee's tips will not sync to Toast Payroll.

 

  1. In Toast Web, navigate to Reports > Labor > Shifts.
  2. Set the date range at the top of the page to the date of the missing tips.
  3. Select Update and scroll to Open Shifts.
    1. If the employee's shift is still open and they have worked an additional shift since the missing-tips shift: copy the additional shift details, delete the additional shift, close the open shift, and re-enter the deleted shift manually.
    2. If the employee has not worked an additional shift since: close the missing-tips shift. Then, on a Toast POS device, navigate to the Setup menu and select Shift Review within the Management section. Uncheck the Filter to Today box and complete the shift review.

 

Expected outcome: Tips for the closed shift appear in Toast Payroll within a few minutes. For more detail, see Toast Payroll: Tips Not Syncing From Toast Web.

 

If Tips Are Missing for All Shifts

Most likely cause: the active Toast Web and Toast Payroll profiles are not mapped. See Toast Payroll: Manage Employee Mapping.

 

If you reset a payroll, you need to approve timesheets again to see time entries and tips — unless you have automatic timesheet approval enabled. For automatic approval, see Toast Payroll: Manage Timesheets.

 

Expected outcome: Tips for all shifts appear in Toast Payroll once mapping is complete and timesheets are approved.

 

If Tip Amounts Differ Between Toast Web and Toast Payroll

This is usually caused by a duplicate profile or an open shift.

 

  1. Search for duplicate profiles in Toast Web. Navigate to Employees > Employee management > Employees and use the search bar to look for multiple profiles for the employee. If a duplicate is found, see Toast Payroll: Duplicate Profile Detection in Toast for steps to identify and archive the extra profile.
  2. Search for duplicate profiles in Toast Payroll. Use the search bar at the top of any page in Toast Payroll. Important: Mapping alone does not fix duplicate Toast Payroll profiles. If labor and wage information is split across two Toast Payroll profiles, contact Customer Care — Customer Care may need to merge the profiles, and a wage amendment or fee may apply.
  3. If no duplicates are found, check for an open shift using the steps in If Tips Are Missing for One Shift above.

 

Expected outcome: Tip amounts match between Toast Web and Toast Payroll once duplicates are resolved or the open shift is closed.

A Pay Change Didn't Sync to Toast Web

Most likely cause: duplicate jobs exist for the employee in Toast Payroll. When you change a pay rate in Toast Payroll, that rate is immediately sent over to Toast Web as the Wage Override for the assigned job. If the employee has duplicate jobs in Toast Payroll, the rates in Toast Payroll and Toast Web will not match.

 

  1. Open the affected employee's Toast Payroll profile.
  2. Identify duplicate jobs — typically the same job title and location appearing twice.
  3. Delete the duplicate job in Toast Payroll.

A New Hire or Rehire Isn't Showing Up

If a New Hire Is Not Visible in Toast Web

A brand-new Toast Payroll profile takes up to one hour to sync to Toast Web and create a mapped Toast Web profile.

 

Expected outcome: The Toast Web profile is created and mapped within 1 hour mainly.

 

If the new hire still does not appear after the sync, confirm:

 

  • The employee was hired in Toast Payroll, not in Toast Web — all employees must be added to Toast Payroll instead of Toast Web.
  • The employee's Toast Web permissions include the correct restaurant location. Navigate to Toast Web > Employees > Employee management > Employees and select the edit pencil for the profile. If the restaurant has multiple locations or is part of a restaurant group, check the View restaurant / group permissions drop-down menu at the top of the permissions tile.

If a Rehired Employee's Account Isn't Linked to Toast POS

When you rehire an employee in Toast Payroll, Toast automatically unarchives the old Toast Web profile and remaps the two profiles. No manual mapping is required.

 

If the Toast Web profile still appears archived or unlinked:

 

  • Confirm the rehire was completed in Toast Payroll, not in Toast Web.
  • If you receive a "duplicate email" error during rehire, the employee's email may exist on a Toast Web profile that wasn't archived. See Toast Payroll: Rehire Guide for the full procedure, including how to handle duplicate email errors.
  • If the employee's old Toast Web profile cannot be found, contact Customer Care.

 

Expected outcome: The rehired employee's Toast Web profile is active, mapped, and able to clock in.

 

If an Employee Exists in Toast Web but Not Toast Payroll

If an employee was added in Toast Web before being hired in Toast Payroll:

 

  1. Hire the employee in Toast Payroll. In Toast Payroll, navigate to Team > + Add employee. For full new-hire steps, see Toast Payroll: Get Help With New Hires.
  2. Map the new Toast Payroll profile to the existing Toast Web profile. See Toast Payroll: Manage Employee Mapping.
  3. Archive any unused duplicate Toast Web profiles. See Terminate or Archive an Employee in Toast Web or Toast Payroll.

 

Expected outcome: The employee has a single mapped pair of profiles and their hours and tips begin to sync.

A Job or Role Isn't Syncing

If a New Job Created in Toast Payroll Isn't in Toast Web

New jobs are added in Toast Payroll, not in Toast Web. Once added, they sync to Toast Web automatically. The exception: if the job does not already exist in Toast Web, create it in Toast Web first.

 

  1. In Toast Web, navigate to Employees > Employee management > Jobs.
  2. Create a job using the same name as the one you want to assign in Toast Payroll. For details, see Create and Edit Jobs (Roles) for Toast POS.
  3. After the job appears in Toast Payroll (typically within a few minutes), assign it to the employee in Toast Payroll. See Toast Payroll: Assign or Change Employee Jobs or Locations.

 

Expected outcome: The new job is available in both systems and assigned to the employee.

 

If a Job Created in Toast Web Isn't in Toast Payroll

Most likely cause: the job was created in the wrong location, or the same job already exists in Toast Payroll under a different name. Confirm the location and check existing job titles before creating a new one.

 

If the job titles in Toast Web and Toast Payroll do not match — or if hours are not syncing for anyone using a specific job — there may be a mismatched mapping. Contact Customer Care for assistance.

Employee Profiles Need to Be Mapped or Remapped

Mapping is the process of linking an employee's Toast Payroll profile to their Toast Web profile. Until profiles are mapped, time entries, tips, pay changes, and job assignments will not sync.

 

You can map employees from two places in Toast Payroll:

 

  • The Employee Mapping page: navigate to Settings > Toast > Employees.
  • Directly from an individual employee's profile in Toast Payroll.

If Mapping Is Correct but Sync Still Fails

Two common causes:

 

  • Permissions issue: the employee's Toast Web profile is missing the correct restaurant location permissions. Navigate to Toast Web > Employees > Employee management > Employees, select the edit pencil for the profile, and check the View restaurant / group permissions drop-down at the top of the permissions tile.
  • Inactive or archived profile: the employee may be mapped to an archived Toast Web profile. If so, unarchive the correct profile or remap to an active one.

 

If neither resolves the issue, contact Customer Care.

 

Expected outcome: The employee is mapped to an active Toast Web profile with the correct location permissions, and sync resumes.

Salaried, 1099, or Multi-Location Employees

Salaried Employees

Salaried employees are not required to clock in, so they typically do not have Toast Payroll timesheets. This is expected. If a salaried employee clocks into a salaried job, time entries appear in Toast Payroll by default but the registered hours do not affect their salaried wages.

 

To prevent timesheets for a salaried employee:

 

  1. In Toast Payroll, open the employee's profile.
  2. In the upper-right corner of the Employment Details tile, select the > caret icon.
  3. Select a Reason.
  4. Update Is Timesheet Tied to Payroll to No.
  5. After edit is made, select Submit at the bottom of the page.

 

Expected outcome: The salaried employee's clock-ins no longer create timesheets in Toast Payroll. For more detail, see Toast Payroll: Manage Timesheets.

 

1099 Employees

If a 1099 employee's punches are appearing in Toast Web but their timesheet is not tied to payroll: confirm that Timesheet Tied to Payroll is set to Yes on the employee's Toast Payroll profile, following the steps in If Time Entries Appear in Toast Web but Not in Toast Payroll.

 

1099 contractors are commonly intended to be paid outside of standard W-2 timesheets. If the contractor was set up specifically not to be tied to payroll, leaving Timesheet Tied to Payroll as No is correct, and hours should be tracked separately. SME to confirm the recommended Toast Payroll setup for 1099 contractors, including whether timesheet sync is expected behavior in this case.

 

Multi-Location: Hours from a New Location Aren't Syncing

If an employee is clocking in at a new location and the hours don't appear in Toast Payroll, the most likely causes are:

 

  • The employee's Toast Web profile does not include the new location in View restaurant / group permissions.
  • The employee is not mapped to the correct Toast Payroll profile for the new location.

 

Confirm the employee's Toast Web AND PAYROLL profile includes the new location/JOB, then verify mapping in Toast Payroll. If hours still do not sync, contact Customer Care. SME to confirm the canonical multi-location sync setup for organizations using restaurant groups.

Before You Contact Customer Care

Some sync issues require Customer Care to resolve — typically when the cause is a duplicate Toast Payroll profile, a backend mapping conflict, or a job-title mismatch that cannot be corrected from the customer-facing UI. Before contacting Customer Care, gather the following so the resolution is faster:

 

  • The employee's full name and Toast Payroll Employee Number
  • A description of the symptom (missing timesheet, missing tips, mismatched pay rate, "duplicate email" error on rehire, etc.)
  • The dates the issue started
  • Confirmation that the employee's profiles are mapped — see Toast Payroll: Manage Employee Mapping
  • Confirmation you have searched for and resolved any duplicate profiles in Toast Web and Toast Payroll
  • Whether the issue affects one employee, one job, one location, or multiple

What's the difference between Toast Web and Toast Payroll?

Toast Web is Toast's main restaurant management platform. Toast Payroll is Toast's separate payroll application. They share employee data through mapping, but the two applications have different navigation and different responsibilities. If I delete a termination record, will it rehire the employee?

Deleting a termination record is not the standard way to rehire an employee. A "duplicate email" error during rehire means an active or unarchived Toast Web profile already uses that email. This can happen when a termination did not also archive the Toast Web profile.
