Get Help With Employee Clock-in Issues on the POS

Question

  • I set up a profile/account for my employee, but they can’t clock in on the POS. Why is my employee unable to clock in?
  • Why can't my employee log in on the POS handheld?
  • What do I do if my POS access code doesn't work?

Answer

If an employee is not able to clock in or access the POS using their passcode, it may be due to one of these reasons:

 

  • The employee may be using the wrong POS access code (sometimes referred to as a passcode or PIN). 
    • You can check an employee's POS access code by navigating in Toast Web to Employees > Employee Management > Employees. Select their last name hyperlink to check the POS access code on the Overview tab of their employee profile.
    • If the employee has been rehired, verify they are using the correct POS access code, as the code associated with their old profile may have been used in the interim, and their code might have been changed. 
  • The employee may have been archived in Toast Web by accident.
    • If you can't find the employee's name on the Employees page in Toast Web, their profile may have been archived by accident. Check the Archived tab of the Employees page. You can restore archived employees if necessary by selecting the restore (up arrow) icon.

 

If you've confirmed that the employee is active and the POS access code they are using is correct, you may need to resync all data to your POS device to make sure that the information is the same as what is showing in Toast Web. To resync all data:

 

  1. Navigate to the POS terminal and access the passcode screen (use Switch User if needed).
  2. Tap the three-dot menu located at the top-right corner and select Resync All Data.
  3. Confirm the action to reload data. Note: Ensure that all queues are clear before resyncing to avoid potential order loss.

Note: If this employee only has a salaried job assigned to them, they will not see the clock-in screen and will be taken directly to an order screen when they punch in their POS access code.
