Reporting Best Practices: Your First Day on Toast

In this article, learn what reports and tools to use after your first day and how to continuously monitor your restaurant’s performance on a daily cadence.

Now that the day is over, we're pretty sure you'd like to check on sales, labor, and how many online orders your kitchen completed. 

Below are some tools, tips, and reports that will allow you to take control of your restaurant's performance from the very first day with Toast.

Reporting Insights in Toast Web

It's important for you to be able to closely monitor sales, hourly labor cost % of net sales, and track discounts in real time. All of that is available right on your homepage on Toast Web. Under Quick Actions on the homepage, you can easily pull labor summary and sales summary reports, edit menus, refund checks, manage employees, and check time entries. 

 

Reporting Insights page

 

Select Edit time filter to view the data from either today or yesterday. 

Change the Compared to option to the previous day, same day last week, or same day last year and see how the day is going (or how it went) compared to the same time frame selected. Red and green colors with the percentages for the previous period selected will display in the designated categories showing growth or decline.

Sales Reporting in Toast Web

Sales Summary ReportThe Sales Summary is a comprehensive report that breaks down sales data from the selected date range, showing restaurants a full financial picture of how the business is doing on a day-to-day basis. 

The Sales Summary report contains 17 sections or also called "Sales Summary Cards".

  • Net Sales Summary

You can select the gear icon at the top to change the order they appear on the report.

In Toast Web, navigate to Reports > Sales > Sales summary, or select Sales summary from the Quick Actions section on the homepage. 

Use the Date, Location, and More filters options to update the report.

Sales Breakdown ReportThe Sales Breakdown report can be used to compare two different sales metrics against each other, including: 
  • Sales Categories
  • Dining Option
  • Revenue Center
  • Discount Name
  • Service Area
  • Service Type
  • Server
  • Sale Date
  • Item Name
Sales by Sales Category: By selecting Sales Category from the drop-down menu, you can find items or menu groups that don't have a sales category or revenue center assigned and can see net sales per category. 

Dining Option Sales: By selecting Dining Option from the drop-down menu, you can easily see sales for each channel (dine-in, online ordering, third-party ordering, etc.) and compare them to each other. 
In Toast Web, navigate to Reports > Sales > Sales breakdown.

Select the date range for the report.

Labor Reporting in Toast Web

Time Entry Management ReportThis report provides a view of all employee time entries (clock in/out) for the date range selected.Clock In/Out Entries: You can easily see what staff member forgot to clock out for the day. You can also add and edit time entries directly from this page. As such, this is a great report that can be used on a daily basis to make sure that time entries for the day are correct and as a result, that your labor % is accurate. 

To view employees who have not clocked out, select Filter auto clock-outs.

In Toast Web, navigate to Reports > Labor > Time entry repoting.

At the top, make sure to select the correct filters (location, date, and employee) so you can see all the time entries for the day. 

Shifts ReportThe shifts report provides a summary of all open and closed shifts for the date range selected. Check on open shifts: If an employee or manager forget to complete a shift review, your expected deposit amount and total cash amount might be incorrect as a result. It's very important to complete a shift review prior to end of day. 

In Toast Web, navigate to Reports > Labor > Shifts.

At the top, make sure to select Today so you can see all the time entries for the day.

Cash Management and Deposits Reporting in Toast Web

Sales Summary ReportThis report provides a day-to-day financial picture of the business.

Cash & deposit summary for the day: Check on the total cash collected for the day and the expected deposit generated from the cash drawer report. 

 

The "i" icons next to each row will detail what each row means. 

In Toast Web, navigate to Reports > Sales > Sales summary, or select Sales summary from the Quick Actions section on the homepage. 
Drawer HistoryThis report provides an overview of all cash activity for a restaurant. Cash Drawer & Restaurant Cash Totals: Monitor each cash drawer (each individual column) for the day and view House totals for cash entries to ensure they match the daily deposit.In Toast Web, navigate to Reports > Cash and loss management > Drawer history.
Deposit Totals OverviewWith this report, view your settled and pending credit card batches.Pending deposits/batches: Here you will be able to see settled credit card totals (batches) and any pending batches that have not yet been settled allowing you to easily reconcile what is in your bank account with each batch. The Settled Deposits Daily Breakdown report is also useful, but will only show settled deposits.In Toast Web, navigate to Reports > Payments > Deposit totals overview.

Dining Options Filters on a Report

Tracking sales for different channels (dine-in, takeout, online ordering, third-party delivery, etc.) has become increasingly important for restauranteurs. 

In most reports, you can select Dining Option under the More drop-down menu on the header to show sales, orders, and general information broken down by channel. You can also select other options to see a detailed view of sales by service area, for example.

Export Reports from Toast Web

Your restaurant might need to export raw data from Toast Web in order to upload it into a payroll system or even a Toast partner's platform. You can do so by selecting the download icon or print icon directly from each report. This will export the report in either a PDF, Excel spreadsheet, or CSV file.
