Toast Payroll: Change Company Bank Account On File

Update a Toast Payroll Bank Account

Toast uses separate systems for handling general POS transactions and payroll-related processes. Changes to one system will not automatically apply to the other. Consider the following if you want to update your bank account specifically for Toast Payroll:


 

  • If you use one bank account per pay group, you can update each bank account yourself in Toast Payroll.
  • If you use multiple bank accounts per pay group:
    • Download and fill out the New Bank Account Form. The signature on this form will be used as the signature for your printed checks (if you've opted in to printed checks).
    • Obtain a document that displays both the routing and account number, such as a voided check. If a voided check cannot be provided, most financial institutions will write up a Letter of Account Confirmation as an acceptable substitute for a voided check.
    • Send both of these documents to us via the blue chat dot in the lower-right corner of any Toast Payroll page.
    • This process can take up to three business days, but we will let you know when your changes take effect. In the meantime, we strongly recommend waiting to submit any payrolls associated with the intended pay group until your change has been acknowledged by Toast Payroll.
      • Plan updates well in advance of payroll processing dates, ideally three days before. This minimizes the risk of payrolls being processes with outdated or unintended bank details.

 

Notes:

  • If the FEIN (Federal Employer Identification Number), business name, and/or the person behind the authorized signature are also changing, additional steps are required. Contact us via the blue chat dot in the lower-right corner of any Toast Payroll page for more information.
  • If you also use NEXT Insurance for workers' compensation, contact support@apintego.com to ensure they also have your updated bank information on file.

Update a Bank Account if You Use One Bank Account per Pay Group

If you use one bank account per pay group, an HR+/Admin user can:

 

  1. Log into Toast Payroll and select Payroll > Pay group settings.
  2. Locate the pay group you'd like the change to apply to and select Update in the Bank account section.
    1. If you do not see Update, your business uses more than one bank account per pay group, so you'll need to follow the steps below instead.

  3. You'll see one of two pop-ups:
    1. If you do not have another bank account on file with Toast, you'll be able to add one by filling out the information here. Check the box at the bottom and select Save.

    2. If you have any existing accounts Toast has already validated, select one here and select Save. If you want to add a new account to this list, select + Add bank account and fill out the details.

  4. Confirm the intended account has the Active badge. This change is effective immediately.
