Toast Payroll: Tax Management in Hawaii

To be successful with Toast Payroll and Team Management, register for all applicable tax accounts and supply the tax information to Toast Payroll.

Many tax jurisdictions no longer accept electronic filings and/or deposits with account information in an Applied For status. If not remedied, customers may be assessed penalties, interest fees, and/or additional repercussions by governing agencies.

Tax Management Overview

Many of the items on this page are maintained by your company in the Toast Payroll Tax Center. We highly recommend visiting this page at least once a quarter so you can complete outstanding tasks and help enable a successful quarterly tax filing. Failure to provide this information risks Toast Payroll's ability to remit/file on your behalf, which may result in financial penalties for your company. Visit Toast Payroll: Manage Payroll Taxes to learn all about the Tax Center.

 

After applying for and receiving your state tax account number(s), payment frequency, unemployment rate, or once you complete your third-party administrator (TPA) linking, log into Toast Payroll and select Taxes from the left-hand navigation. Complete any available tasks here, including Form 8655, missing Social Security numbers, and more.

Taxes and Forms Toast Payroll Supports/Remits in Hawaii

Payroll tax liability largely depends on where an employee is working and where the employee lives.  More information on assigning a work tax location within the Toast Payroll system can be found in Toast Payroll: View and Update Work Tax Locations.

 

State Income Tax (SIT) 

  • Form HW-14 (Withholding Tax Return)

 

State Unemployment (SUTA)

  • Form UC-B6 (Employer's Quarterly Contribution and Wage Report)

 

As applies to your work tax location

  • Employment & Training (E&T) Assessment (included in SUTA filing)

 

Other

 

Employee name, social security number (SSN), gross wages, and taxable wages for all employees are listed on the applicable filings done by Toast Payroll.

Where to Find Copies of Tax Filings Processed in Toast Payroll

Quarterly tax packages are found within the Toast Payroll System under Reports > Tax Filing. These reports are typically available the third full week of the month following each quarter-end. Toast Payroll will only generate tax packages for quarters in which a customer was actively processing payroll within the Toast Payroll system. 


Note: Toast Payroll & Team Management may not be able to complete and/or submit tax filings where the Toast Payroll system reflects missing, erroneous, or incomplete information in a customer’s account. It is the customer’s responsibility to ensure that they have provided Toast Payroll & Team Management with all requisite tax information in a timely manner. Copies of tax return submissions do not guarantee that a return was submitted to or accepted by an applicable agency.

Register for Your ID - Withholding and Unemployment Taxes

Registration with the state sets up your tax account, identified by an Employer Identification Number (EIN). This number enables Toast Payroll to file electronically on your behalf. Failure to provide this information risks Toast Payroll’s ability to remit/file on your behalf which may result in financial penalties for your company.

 

Hawaii state income tax (SIT) withholding and state unemployment tax (SUTA) withholding are registered for through separate agencies.

Information You’ll Need to Register

  • Federal Employer Identification Number (FEIN)
  • Legal business name and physical address
  • Names, SSNs, and titles of officers/members
  • The date wages were first paid in Hawaii

How to Register - State Withholding 

  1. Register online via Hawaii Tax Online (HTO).
  2. Under the Registration section, select Register New Business License and then select BB-1 Basic Business Application.
  3. Follow the prompts to complete the registration for a withholding account.
  4. Customers typically receive their Hawaii tax account number within 2–4 business days when applying online.
  5. The account number format is: WH-###-###-####-## (WH followed by 12 digits).
  6. Provide the following information to Toast Payroll via Settings > Payroll > Tax Accounts:
    1. Withholding number (e.g., WH-000-000-0000-01)
    2. Payment frequency (assigned based on liability; quarterly, monthly, or semi-weekly)

How to Register - State Unemployment

  1. Register online via Hawaii Unemployment Insurance (HUI).
  2. Under the Employer Services section, select Register for UI Account Number.
    1. Note: Registration must be completed within 20 days after an employer's first day of work. Registration prior to the first day of work may be denied.
  3. Customers typically receive their Unemployment Account Number and Contribution Rate by mail about 2 weeks after registering.
  4. The account number format is: ########## (10 digits).
  5. Provide the following information to Toast Payroll via Settings > Payroll > Tax Accounts:
    1. SUTA EIN (unemployment account number)
    2. Unemployment tax rates (contribution rate)

Find Your ID and Rate - Already Registered

The Employer Identification Number (EIN) identifies a tax account to the state and enables Toast Payroll to file returns electronically on a company’s behalf. Failure to provide this information risks Toast Payroll’s ability to remit/file on your behalf which may result in financial penalties for your company. 

 

Income Tax Withholding

If you’ve already registered for a Hawaii withholding account, the ID and frequency can be found by:

  • Logging into Hawaii Tax Online
  • Reviewing the Form HW-14 or tax notices sent by the Hawaii Department of Taxation
  • Calling the agency at (808) 587-4242

 

A Hawaii SIT EIN is typically in a WH-###-###-####-## (WH followed by 12 digits) format. Provide this EIN and any payment frequency information to Toast Payroll by entering it into the Tax Accounts page via Settings > Payroll > Tax Accounts.

Unemployment Tax

If you’ve already registered for a Hawaii SUTA account, unemployment account ID numbers and tax rates can be found by:

  • Logging into the Hawaii UI Portal
  • Reviewing the Contribution Rate Notice (mailed annually in December/January)
  • Calling the agency at (808) 586-8926

 

A Hawaii SUTA EIN is typically in a ########## 10-digit format. Add your EIN and any tax rate information into Toast Payroll by entering it into the Tax Accounts page via Settings > Payroll > Tax Accounts.

Unemployment Tax Rate

An unemployment withholding tax rate is determined by the state and can change each year. Visit the Hawaii DLIR Unemployment Insurance website for more information on how rates are calculated.

 

Updated Hawaii unemployment tax rate information should be added to Toast Payroll by navigating to Settings > Payroll > Tax Accounts.

Link Toast as Your Payroll Tax Third-Party Administrator (TPA)

Linking Toast as your third-party administrator will ensure we are able to complete the quarterly filings and amendments (if applicable) in a timely manner.

 

For Toast to deposit and file taxes with the Hawaii Department of Labor and Industrial Relations for employers who use Toast Payroll to pay employees in Hawaii, Toast must be granted third-party administrator (TPA) access to your Hawaii Unemployment account. Toast will request access online once you provide your account number and then you will need to complete the steps below:

 

  1. Log into your Hawaii Department of Labor and Industrial Relations account.
  2. On the right-hand side, select User Management.
  3. Approve the request for access to STRATEGY EXECUTION PARTNERS LLC.
  4. Checkmark I acknowledge that I understand and will abide by these terms.
  5. Select Continue.
  6. Enter the following information:
    1. Last Name: Tax
    2. First Name: Toast
    3. Title/Position: Tax Agent
    4. Phone Number: (312) 252-7341
    5. Email Address: ops@stratex.com
  7. Select the following roles:
    1. Account Inquiry
    2. Enter Quarterly Wage Data
    3. Submit Quarterly Wage Data
    4. Payment
    5. Notifications
