If the Menu Group Doesn't Appear in the Price Book At All

For a menu group to appear in the Price Book, it needs to be shared with the Retail Item Library. Items assigned to a menu group that isn't shared with Retail simply won't show up, even if the menu group itself is set up correctly in Menu Manager.

 

To share a menu with your item library:

  1. In Toast Web, navigate to Retail > Item Management > Categories.
  2. Select Manage in the top-right corner.
  3. Use the checkboxes to add the menu you want captured in your item library.
  4. Select Save, then publish your changes.

 

Expected outcome: After publishing, the menu group and its items appear as available options in your Price Book.

 

Note: All of your retail items still show up in your regular menu editor. Only the menus selected in this Categories screen will show up in your Retail item library and Price Book — this is why you might see an item in Menu Manager but not in Retail.

If the Menu Group Only Appears for Some Locations, Not All

If a menu group only shows up in the Price Book for one location instead of every location it should apply to, check its Target and Owner settings. Retail catalogs are generally meant to be targeted at the entire restaurant group so every location can share the same Price Book, rather than targeted at one specific location the way an individual food menu item sometimes is.

 

To check or update the Target and Owner for a menu group:

  1. In Toast Web, navigate to Menus > Menu Management > Edit Menus.
  2. Find the menu or menu group in question and check its Owner column.
  3. Select the three-dot overflow menu next to the Owner column.
  4. Update the Target and Owner fields so the menu group is targeted at the restaurant group level rather than a single location.
  5. Select Save, then publish your changes.

 

Expected outcome: Once the menu group is targeted at the group level, it becomes available in the Price Book for every location in that group, not just one.

 

Note: If you don't have restaurant group-level permissions, you won't be able to change a menu group that's targeted at the group level — its items stay targeted there. Group-level permission changes require someone with restaurant group edit access.

If Wholesale Items Appear but Pricing Can't Be Edited

Enrolling in Wholesale locks pricing to the supplier price list level for any items tied to a wholesale supplier price list. Their pricing is managed at the supplier level, which is why the price field for those items becomes read-only in the Item Library grid after Wholesale is set up.

 

To change pricing on a Wholesale-enrolled item, open the individual item's page instead of editing from the Item Library grid, and update its price there.

 

Expected outcome: The price updates on the item's own page even though the Item Library grid still shows it as read-only.

 

Note: Your item master data — name, barcode, SKU, category, tax, and inventory — stays the same after enrolling in Wholesale. Wholesale changes how an item is priced and sold to different customer types; it doesn't change or duplicate your underlying Retail Item Library.
