Scheduling in Toast Web is the new scheduling experience powered by Sling. Original Sling customers will not see any changes and there's no forced migration, but we encourage companies to migrate to allow employee visibility into their schedules in the MyToast app along with all the other great features the app offers. Both Scheduling and Sling run simultaneously and stay in sync.
In short, Scheduling Basic includes features like schedule building, employee time off, shift offers, open shifts, weather forecast and Toast IQ questions. Scheduling Pro includes all Basic features and adds other features like shift swaps, revenue forecasting, auto-assign shifts, auto-scheduling with Toast IQ, and employee unavailability. If you decide to upgrade one location to Scheduling Pro, all of your locations will also upgrade to Scheduling Pro. See Sling by Toast: Compare Scheduling Basic and Scheduling Pro for full details.
The Scheduling page in Toast Web shows the message "We are still working on building your scheduling experience." This usually happens directly after you've made that initial connection, and the integration starts mapping your data behind the scenes. It usually takes 15 minutes for everything to fully sync over from Toast to Sling. If the message persists, contact Customer Care so an agent can check the provisioning status on your account.
Every Scheduling customer also has automatic access to a Sling back-end. Since Scheduling is powered by Sling, you can also use the Sling product to manage employee schedules. The two systems will mirror each other. There are a couple additional features in Sling that are not present in Scheduling, but these will become available in Scheduling in future updates. Toast does not currently have plans to remove the Sling back-end or Sling integration.
From the Scheduling page in Toast Web, look to the upper-right corner and select the three dots > Connect locations to Sling.
If you recently added an employee to Toast Web or Toast Payroll, it can take 15 minutes for them to appear in Scheduling in Toast Web. Wait 15 minutes and refresh the page.
The information between Toast Web and Sling (which is what Scheduling is based off of) syncs every 15 minutes. You will be able to schedule this employee to that new job after waiting 15 minutes to allow the sync to occur. The refresh button will not speed up the syncing time.
At this time, there is no way to print a schedule from Toast Web, but this feature will arrive in Scheduling soon. In the meantime, you can screenshot the page or use your browser to capture the information and print it. You can also navigate to Scheduling > three dots > Sling, log in, and then follow the directions in the Print a Schedule section of Sling by Toast: Create a Schedule.
Copying shifts is used to repeat multiple or all shifts that were created for a previous schedule's day or week. This creates a single copy of each shift. On the other hand, repeating shifts are commonly used for specific employees that work the same schedule or open shifts that will recur week after week. Essentially, copying shifts should be used for one-time use and repeating shifts should be used for multiple recurrences.
Scheduling does not update in real time while two users are editing a schedule at once. The refresh button can be used to view the most up-to-date changes made by either user. This issue is not present in the Sling back-end where any updates made by another user are seen instantly. Note: The refresh button does not have any effect on the time to sync information between Toast Web and Scheduling/Sling.
Individuals with the Employee system role do not have access to the Scheduling platform in Toast Web. Their experience is limited to the MyToast app. Employees can view published shifts, reopen (drop) shifts, offer shifts, swap shifts, request time off, and set their unavailability. Some features are only available with the Scheduling Pro subscription. Visit Manage Scheduling in the MyToast App (for Employees) to see how employees manage their schedule.
This field is optional, but it controls which Manager/Admin gets email notifications for that individual's actions (time off requests, unavailability approvals, shift offers, shift exchanges, and schedule changes). If the individual has the Employee system role and no names are selected here, all Managers will be notified when one of these actions is taken. If the individual has the Manager system role and no names are selected here, all Admins will be notified when one of these actions is taken.
Toast IQ can answer general questions about Scheduling (i.e. "Who is working Friday?") and can help create or edit shifts with plain-language prompts (i.e. "Create an open shift for next Saturday"). If you use Scheduling Pro, you can even ask it to help create your entire schedule.
Time off is a one-time request to not be scheduled on a day or set of days. Unavailability is a recurring request to not be scheduled on a day of the week every week. Unavailability is only available to Scheduling Pro customers.
This feature is only available with Scheduling Pro and only when you're viewing the schedule by week (ensure the toggle is set to Week and not Day). When you're looking at the Full schedule tab,
The status badge in revenue forecasting (available to Scheduling Pro customers in the Week view only) can display as On Target, At Risk, Over Budget, or Under Budget. These are indicators of your labor range.
This feature is only available with Scheduling Pro. At the top of the Scheduling page, navigate to the Team availability tab. Use the date range selector, Section by, Sort by, and Filters to help locate the employee or day you want to view. Here, you can see the days employees are requesting not to be scheduled. You can also add unavailability on behalf of an employee by selecting Add unavailable hours.
This feature is only available with Scheduling Pro and only for single-location companies. Auto-scheduling only includes hourly individuals. Look towards the right side of the header when open unpublished shifts exist — the Auto-Assign button appears there.
