Scheduling by Sling in Toast Web

If you navigate to the Scheduling page in Toast Web, you might see a new view. Read this article to discover more.

The calendar view for Scheduling in Toast Web allows you to view, create, edit, and publish shifts for your employees. However, there are some features and workflows, specifically those available to Scheduling Pro users, that aren't currently available. If you're unable to find what you're looking for, use the Sling platform at getsling.com

Calendar View for Scheduling by Sling in Toast Web

In August 2025, Toast released a calendar view for Scheduling in Toast Web. Customers who currently use Scheduling Lite (and have it integrated with Toast) will see shifts and be able to modify them in Toast Web, without needing to navigate to the Sling platform. The benefit is that any action taken in the Scheduling calendar view will also update in your Sling platform. You are welcome to create, edit, and update any shifts here. Scheduling Permissions (System Role)

The permissions for Scheduling in Toast Web will mirror the permissions in the Sling platform. These Scheduling permissions can be found and adjusted on employee profiles. Navigate to Employees > Employee management > Employees, then select the edit pencil for a specific employee. Now select Scheduling permissions on the left side of this page and you'll see the following:

  • Any user within the Toast ecosystem will have Employee access to Scheduling by default. This means they will be able to see their shifts (and coworker shifts, if available) in the MyToast and Sling apps, exchange their shifts (if available), and request time off.
    • By navigating to their profile and visiting their Scheduling permissions, you can set the Manager(s) to be notified when this employee requests time off or shift exchanges. This list includes both Managers and Admins. If no one is checked in this list, the notifications will be sent to all managers at this location.
  • Users with Manager permissions will be able to to create and edit schedules and employees. They will also need Toast Web permission 8.4 Manage Integrations to allow them to access the Scheduling tab in Toast Web.
  • The only user who will initially have Admin permissions is the one who set up Sling by connecting the first location(s), but they can assign Manager or Admin permissions and permission 8.4 Manage Integrations to other users. Admins are able to create and edit schedules and employees and also control organization settings for Scheduling.

 

If you do not see the Scheduling permissions (system role) on an employee's profile, double-check the following:

 

  • You must have the Admin Scheduling permission.
  • Your Toast email and Sling email must match each other.
  • You must have Toast Web permissions 4.9 Employee Info and 4.10 Employee Jobs & Wages to access the Jobs & Permissions tab of an employee's profile.
  • Lastly, you must have Toast Web permission 8.4 Manage Integrations to be able to edit a user's Scheduling permissions.

Verify Your Email to View Scheduling in Toast Web

To view Scheduling in Toast Web, you may need to verify your email within the platform. Toast Payroll users will not need to verify their email.

 

  1. Select Scheduling from the left-hand navigation in Toast Web.
  2. If you see a pop-up, select Get started. Otherwise, select Set up scheduling from this page.
  3. The page will ask you to verify the email you're using to log into Sling + Toast. Select Send email to receive an email at that address.
  4. Navigate to your email inbox and open the email titled Verify your email address from noreply@toasttab.com. Select Verify Email.
    1. If you do not see this email, check your Spam or Junk Folder. You can also return to Toast Web and select Resend email.
  5. The link in your email will bring you back to Toast Web, where you can select Start Scheduling.

Basics of the Scheduling Calendar View in Toast Web

  • Scheduling Settings: Select the gear icon to open the Scheduling settings. These settings include the first day of the week on your calendar, shift visibility for employees, and Scheduling notifications. 
    • Toggle on the Visibility of schedules for employees setting if you'd like your staff to see the entire location's schedule.
    • Toggle on the Visibility of co-workers for employees setting if you'd like your staff to see the co-workers present for their shifts only.
      • This toggle is redundant and unnecessary if you enable the first toggle.
  • Date Selection: Use the date drop-down menu to select a date range for building or viewing your business's schedule. Selecting Today will bring you to the current week.
  • Locations: The location you are viewing in Toast Web and the shifts that are visible on your calendar might be different. Select Filters > Locations from the right side of the screen to select the Sling organizations you'd like to display on this page.
  • Copy Shifts: You can easily duplicate or reuse the same schedule from a prior week. Navigate to a single week with a completed schedule by using the date selector. Now select Tools > Copy shifts (you'll see the week's dates) > select the week you want to copy to. In the image below, all shifts from July 2 through July 8 would be copied into the week of July 16 through July 22. From here, you can add, remove, or edit shifts to fit individual circumstances, but copying shifts does a bulk of the work up front to get you started.

Create a Shift in Scheduling in Toast Web

  1. In the upper-right corner of the page, select the Create button. This will open a sidebar where you can fill out the details. You only have to fill in the fields with red asterisks.
    1. If an employee/new hire was recently added to Toast Web or Toast Payroll, it can take up to 15 minutes before that person will be visible or be able to be added to the Schedule module in Toast Web.
  2. You can create open shifts in Toast Scheduling and they will appear in the blue/purple Open shifts tab at the top of the calendar view. An open shift is not assigned to a specific user, so any employee who does not already have a shift can pick it up. For example, let's say you anticipate needing two bartenders on a specific day. You can create a regular shift and assign it to a bartender. Then you can create an open shift that can be picked up by another bartender.

  3. At the bottom, select if you'd like to publish now (which will make this shift live and alert the employee) or publish later (which allows you to continue building and amending this schedule).

  4. No matter which option you choose above, select Save to see that shift on the calendar view. You can drag and drop any shifts with a dotted line (unpublished shifts) on the calendar view if you added one to the wrong day or wrong employee.

Publish Shifts in Scheduling in Toast Web

  1. To publish all shifts, select the Publish button in the upper-right corner of the page. This will publish all of the shifts on your schedule that have been created. These shifts appear with a dotted line border.
  2. To publish some shifts, select the down arrow in the Publish button and choose Publish selected. Now select the checkbox on any created shifts that you would like to publish and then select Publish.

  3. If you are unable to find a feature or you would prefer to build your schedule directly in Sling, return to getsling.com and log into your account.

Connect Toast Web Locations to Sling

If you'd like to view your connected locations with Sling (the page that was previously on this screen before the calendar view debuted), select the three dots (overflow menu) in the upper-right corner and choose Connect locations to Sling.
