About Sling by Toast

Sling by Toast is Toast's employee scheduling and team communication platform. Connecting Sling to your Toast account syncs employee, wage, position, and location data from Toast to Sling, and syncs schedules and timesheets from Sling back to Toast Web. Staff can clock in from the Sling app, and timesheets flow into Toast Payroll if you use it.

 

Toast offers two versions of Sling for United States customers: Scheduling Lite (free with every Toast POS package) and Scheduling Pro (paid, with additional features such as mobile time tracking, labor cost management, and bi-directional timesheet sync). New customers automatically receive a 15-day Scheduling Pro trial. Before You Begin

Applies to: Toast Web, Toast POS, Sling by Toast (Scheduling Lite and Scheduling Pro). If you use Toast Payroll, employee data also syncs to and from Toast Payroll.

 

Permissions needed:

  • Toast Web permission 8.4 Manage Integrations — required to access the Scheduling page and connect locations to Sling
  • Toast Web permissions 4.9 Employee Info and 4.10 Employee Jobs & Wages — required to add or invite employees who will appear in Sling
  • The first user to connect a location becomes the Sling Admin for that account and can assign Manager or Admin Sling permissions to others. If you’re connecting an existing Sling account, you must have the Admin system role within the Sling organization for access to the Sling Integrations page.

 

What you'll accomplish: Connect one or more Toast locations to a Sling account, access Sling from Toast Web, and invite employees so they can view schedules in the Sling and MyToast apps.

 

Required environment:

  • You must be live on Toast POS or in POS Test Mode before connecting Sling. Customizing Sling settings before Toast POS is live can cause go-live problems and data integration errors.
  • Use Google Chrome for the integration. Apple Safari may cause conflicts with the setup flow.

 

Important: If you do not see Scheduling in your Toast Web left-hand navigation, request access from your Toast administrator. Without the permission 8.4 Manage Integrations, the Scheduling tile is hidden.

Step 1: Set Up the Sling Integration

Getting started on Sling takes only a minute or two once you have the prerequisites above. The detailed step-by-step instructions, including how to handle multiple Toast locations and how to connect an existing Sling account, are in Create & Sync Your Sling By Toast Account.

 

 

Use the path that matches your situation:

 

If you do not yet have a Sling account:

  1. From Toast Web, select Scheduling in the left-hand navigation.
  2. On the introduction page, select Try now.

 

In Toast Web, select Scheduling > Try now

 

  1. Select each Toast location you want to connect, or select Select all to invite all locations. Select Connect.
  2. This should open a new web browser tab. Select Create a new Sling account. Toast pulls your email automatically — set a password and select Create account.
  3. Confirm the sync by selecting Connect. Sync of employee, wage, location, position, timesheet, and net sales data can take a few minutes.

 

Syncing data

 

If you already have a Sling account (or are adding a new Toast location to an existing Sling account):

  1. From Toast Web, select Scheduling in the left-hand navigation, then Try now.
  2. Select the location(s) to connect and select Connect.
  3. Select Connect to an existing Sling account and log in.
  4. Map your Sling locations and employees to the Toast location, or select It's a new location / It's a new employee as appropriate.
  5. Wait for the sync to complete and confirm the integration.

 

Expected outcome: The connected location appears as Connected on the Scheduling page in Toast Web. Toast and Sling sync automatically every 15 minutes; timesheet data syncs in real time.

 

Note: If you have multiple Toast locations, decide before connecting whether to use a single Sling account for all locations or separate Sling accounts per location or group. Settings in a Sling account apply to every Toast location connected to it. See Multi-Location Account vs. Separate Sling Accounts for the trade-offs.

Step 2: Access Sling From Toast Web

Once a location is connected, you can launch Sling from inside Toast Web.

 

  1. Log into Toast Web and select Scheduling from the left-hand navigation.
  2. Select Launch Sling.

Expected outcome: Sling opens in a new web browser tab. You can build and manage schedules, view timesheets, and access Sling settings based on your Sling system role.

 

Note: If you see a screen that asks you to verify your email, follow the verification steps in Scheduling by Sling in Toast Web to verify before launching Sling. If you instead reach a screen asking you to connect to Sling, the location has not been set up yet — return to step 1.

Step 3: Invite Employees to Sling and Toast Web

Toast lets you invite an employee once from Toast Web and have that invitation grant access to Toast Web, the MyToast app, Sling, and the Sling app in a single flow. Use the path that matches where your business is in the go-live journey.

 

Choose your path:

  • Brand new to Sling, no Toast Payroll — add and invite employees in Toast Web. Within this section, skip to step 3 below.
  • Use Toast Payroll — most employees already have Toast Web and Toast Payroll accounts. Confirm each employee has a Toast Web account using Toast Payroll: New Hire Employees (Employer Guide), then start at step 5 in the below steps.
  • Previously onboarded with Sling — your employees already have Sling accounts. Within this section, skip to step 6 below.

 

Important: Once you invite an employee from Toast Web, do not also invite them directly inside Sling. Doing so creates unlinked login credentials and may cause duplicate profiles to be created, even if the same email and password are used. To repair this, the employee must log into the MyToast app with their Toast Web credentials to link the two accounts.

 

An Admin user within the organization can perform a merge of the duplicate profiles if needed by navigating to the Employee page, and utilizing the three-dot menu on the right side of the page to select Merge, which will prompt which account you are taking to merge, and the account to merge into. The target profile should always be matching the same employee to avoid issues with login credentials and mapping employees.

 

Steps:

  1. Complete the Sling and Toast integration in step 1 above.
  2. Determine which path above applies — follow the path's start point.
  3. In Toast Web, navigate to Employees > Employee management > Employees and add each employee. See Add and Manage Employees in Toast Web for the full add-employee flow.
  4. Select + Add New Employee and leave the toggle at the top of the sidebar on Yes. Add an email address. This invites the person to create an account.
  5. The employee receives an email invitation. They open the email and select the link to set a password and finish account creation.
  6. After setting a password, the employee downloads and logs into the MyToast app. Logging in links their Toast Web account to their Sling account.

 

Expected outcome: The employee can see their schedule in both the Sling app and the MyToast app. In Toast Web, their status reflects their progress through the flow:

Common issue — employee not appearing in Sling:

If you added an employee to Toast Web but they do not appear in Sling, check the following in order:

  1. Wait 15 minutes for the next sync cycle.
  2. Confirm the employee's Toast Web status is Active, not Invited or Expired. Invited employees do not appear in Sling until they finish account creation.
  3. Confirm the employee has at least one job assigned in Toast Web that also exists as a position in Sling. See Sling by Toast: Set Up Schedule Enforcement for guidance on jobs and positions.
  4. If the employee was added directly in Sling first, they may exist as a duplicate profile. Use Sling's merge option to resolve duplicates.
  5. Verify that the employee was not deactivated in Sling by navigating to the Employee page and accessing the Deactivated tab.

Step 4: Disconnect a Location From Sling (Optional)

Use this step only if you need to remove a Toast location from Sling — for example, if you closed a location or are switching scheduling platforms.

 

  1. From Toast Web, select Scheduling in the left-hand navigation.
  2. If you see the calendar view, select the three dots (overflow menu) in the upper-right corner and choose Connect locations to Sling.
  3. Next to any location in the Connected status, select the three dots (overflow menu) and choose Disconnect.
  4. Confirm the disconnect.

 

Disconnecting from Sling

 

Please note by disconnecting a Toast location from the integration, it will not automatically deactivate employee profiles, job positions, or job locations in Sling. Additional cleanup may need to be performed within the Sling organization after unlinking the integration between Toast and Sling.

 

Expected outcome: The Toast location is no longer connected to Sling. Schedule, employee, and timesheet sync for that location stops. Changes made on Toast will also no longer sync and reflect to their Sling profile.
