Toast Payroll: Tax Management in Iowa

To be successful with Toast Payroll and Team Management, register for all applicable tax accounts and supply the tax information to Toast Payroll.

Many tax jurisdictions no longer accept electronic filings and/or deposits with account information in an Applied For status. If not remedied, customers may be assessed penalties, interest fees, and/or additional repercussions by governing agencies.

Tax Management Overview

Many of the items on this page are maintained by your company in the Toast Payroll Tax Center. We highly recommend visiting this page at least once a quarter so you can complete outstanding tasks and help enable a successful quarterly tax filing. Failure to provide this information risks Toast Payroll's ability to remit/file on your behalf, which may result in financial penalties for your company. After applying for and receiving your state tax account number(s), payment frequency, unemployment rate, or once you complete your third-party administrator (TPA) linking, log into Toast Payroll and select Taxes from the left-hand navigation. Complete any available tasks here, including Form 8655, missing Social Security numbers, and more.

Taxes and Forms Toast Payroll Supports/Remits in Iowa

Payroll tax liability largely depends on where an employee is working and where an employee lives. More information on assigning a work tax location within the Toast Payroll system can be found in Toast Payroll: View and Update Work Tax Locations.


State Income Tax (SIT)

  • 44-095 Iowa Withholding Tax Quarterly Return (Quarterly)
  • 44-007 Iowa Withholding Annual Tax Return (due January 31)
  • Wage and Tax Statement (State W-2)

 

State Unemployment (SUTA)

  • 65-5300 Employer's Quarterly Contribution and Payroll Report

 

Other

 

Employee name, social security number (SSN), gross wages, and taxable wages for all employees are listed on the applicable filings done by Toast Payroll.

Where to Find Copies of Tax Filings Processed in Toast Payroll

Quarterly tax packages are found within the Toast Payroll system under Reports > Tax Filing. These reports are typically available the third full week of the month following each quarter-end. Toast Payroll will only generate tax packages for quarters in which a customer was actively processing payroll within the Toast Payroll system.


Note: Toast Payroll may not be able to complete and/or submit tax filings where the Toast Payroll system reflects missing, erroneous, or incomplete information in a customer's account. It is the customer's responsibility to ensure that they have provided Toast Payroll & Team Management with all requisite tax information in a timely manner. Copies of tax return submissions do not guarantee that a return was submitted to or accepted by an applicable agency.

Register for Your ID - Withholding and Unemployment Taxes

Registration with the state sets up your tax account, identified by an Employer Identification Number (EIN). This number enables Toast Payroll to file electronically on your behalf. Failure to provide this information risks Toast Payroll's ability to remit/file on your behalf which may result in financial penalties for your company.

 

Iowa income tax withholding registration and unemployment tax registration are done on separate websites. Follow both sets of instructions below to get set up with the respective tax agencies. Both account IDs are needed for payroll purposes.

Information You'll Need to Register

  • Federal Employer Identification Number (FEIN)
  • Legal business name and trade name (DBA), if applicable
  • Business structure (e.g., LLC, Corporation)
  • Physical and mailing addresses
  • Date wages were first paid in Iowa
  • Full first and last names, Social Security numbers, and residence addresses for all owners, partners, or officers
  • Estimated monthly withholding amount

How to Register - State Withholding

  1. Register online with the Iowa Department of Revenue (DOR) via the Iowa Department of Revenue website.
    1. Follow the step-by-step instructions to complete your application for your state withholding tax account.
  2. Customers typically receive an Iowa Withholding Account Number within 4-6 weeks after registering online. This is frequently referred to as an Iowa SIT Employer Identification Number (EIN).
    1. The account number format is: ##-#######001 (your account number will include a "001" suffix).
  3. Provide the following information to Toast Payroll by entering it into the Tax Accounts page via Settings > Payroll > Tax Accounts:
    1. Withholding account number
    2. Payment frequency, also referred to as the withholding schedule
  4. If you have not gone live in the Toast Payroll system, this information should be entered in the onboarding platform or sent to an Onboarding Consultant.

How to Register - State Unemployment

In Iowa, customers may not receive a state unemployment employer identification number (EIN) until wages are paid. It is the customer's responsibility to not only apply for an EIN whenever applicable, but also to provide this information to Toast Payroll & Team Management. The Toast Payroll system will calculate the unemployment tax liability and Toast Payroll & Team Management will attempt to remit the funds before the EIN is received. Without an EIN however, customers may face potential penalties, fees, fines, and interest from tax authorities. Follow the instructions below to register.

 

  1. Register online with Iowa Workforce Development (IWD) via the myIowaUI website.
    1. Follow the step-by-step instructions to complete your application for your state unemployment tax account
  2. Customers typically receive an Iowa Unemployment Insurance Account Number immediately upon completing registration online. This is frequently referred to as an Iowa SUTA Employer Identification Number (EIN).
    1. The account number format is: ###### (6 digits)
  3. Provide the following information to Toast Payroll by entering it into the Tax Accounts page via Settings > Payroll > Tax Accounts:
    1. Iowa SUTA EIN (Iowa unemployment account number)
    2. Unemployment tax rates, listed as your Assigned Contribution Rate on the Rate Notice
    3. If rates are not provided, the Toast Payroll system will apply state-designated new employer rates to a customer's account settings
  4. If you have not gone live in the Toast Payroll system, this information should be entered in the onboarding platform or sent to an Onboarding Consultant.

Find Your ID and Rate - Already Registered

The Employer Identification Number (EIN) identifies a tax account to the state and enables Toast Payroll to file returns electronically on a company's behalf. Failure to provide this information risks Toast Payroll's ability to remit/file on your behalf which may result in financial penalties for your company.

 

Income Tax Withholding

If a company is already registered for an Iowa SIT account, the withholding account number and payment frequency can typically be found by:

 

  • Accessing the GovConnectIowa website
  • Reviewing notices sent by the Iowa Department of Revenue (DOR)
  • Calling Iowa DOR at (515) 281-3114

 

An Iowa withholding account number (SIT EIN) is typically in a ##-#######001 format. Add your employer identification number and any payment frequency (annual, quarterly, or monthly) to Toast Payroll by navigating to Settings > Payroll > Tax Accounts.

Unemployment Tax

If the company is already registered for an Iowa SUTA account, unemployment account ID numbers and tax rates can typically be found by:

 

  • Accessing the myIowaUI portal
  • Reviewing notices sent by Iowa Workforce Development (IWD), including prior quarterly 65-5300 filings
  • Calling Iowa Workforce Development at (888) 848-7442


An Iowa account number is typically a 6-digit number (######). Add your employer identification number and any rate information into Toast Payroll by navigating to Settings > Payroll > Tax Accounts.

 

Unemployment Tax Rate

An unemployment withholding tax rate is determined by the state and can change each year based on a number of factors. Visit the Iowa Workforce Development website for more information on the calculation of an Iowa unemployment withholding tax rate.


Update any information regarding your Iowa unemployment tax rate to Toast Payroll by navigating to Settings > Payroll > Tax Accounts.

Link Toast as Your Third-Party Administrator

Linking Toast as your third-party administrator (TPA) allows Toast to electronically file and manage taxes on your behalf. Failure to complete the linking process may limit Toast Payroll's ability to manage tax payments and filings on your behalf, which may result in financial penalties for your company.

 

  1. Navigate to the myIowaUI Iowa Workforce Development website.
  2. Select Sign In under the Existing Users heading.
    1. If you do not have an account, select Create ID under the New Users heading.
  3. Log in with your username and password.
  4. Once you have access, select Assign Agent under My Quick Links on the left-hand side of the screen.
    1. If you have a current agent on the account that's no longer your payroll provider, you will need to place an End Date for them and remove the Roles assigned to them.
    2. If you have more than one agent, they cannot have any of the same roles.
  5. At the bottom of the screen, enter Toast's Agent ID: R2362719
  6. Select Next.
  7. For the Start Date, enter the first day of the quarter you started with Toast (i.e. 01/01, 04/01, 07/01, or 10/01).
  8. Leave the End Date blank.
  9. Checkmark the Power of Attorney box.
  10. Select all roles except for Benefit/Claim Information.
  11. Select Complete.
  12. Lastly, inform Toast that you have assigned us as your agent. Include the EFT Credit ID in an chat with us; select the blue chat dot in the lower-right corner of any Toast Payroll page.
    1. EFT Credit ID: The Unemployment Insurance EFT ACH Credit Bank Account number (each employer will be assigned a unique 17 digit account number).
    2. To register for EFT payments, complete the Application for ACH Credit Transfer form.
    3. Send the completed form to the email or business address listed on the bottom.
    4. The tax agency will send a confirmation that will contain the EFT ID.
