Toast Payroll: Tax Management in Missouri

To be successful with Toast Payroll and Team Management, register for all applicable tax accounts and supply the tax information to Toast Payroll.

Many tax jurisdictions no longer accept electronic filings and/or deposits with account information in an Applied For status. If not remedied, customers may be assessed penalties, interest fees, and/or additional repercussions by governing agencies.

Tax Management Overview

Many of the items on this page are maintained by your company in the Toast Payroll Tax Center. We highly recommend visiting this page at least once a quarter so you can complete outstanding tasks and help enable a successful quarterly tax filing. Failure to provide this information risks Toast Payroll's ability to remit/file on your behalf, which may result in financial penalties for your company. After applying for and receiving your state tax account number(s), payment frequency, unemployment rate, or once you complete your third-party administrator (TPA) linking, log into Toast Payroll and select Taxes from the left-hand navigation. Complete any available tasks here, including Form 8655, missing Social Security numbers, and more.

Taxes and Forms Toast Payroll Supports/Remits in Missouri

Payroll tax liability largely depends on where an employee is working and where the employee lives. More information on assigning a work tax location within the Toast Payroll system can be found in Toast Payroll: View and Update Work Tax Locations.


State Income Tax (SIT)

  • MO-941 Employer's Return of Income Taxes Withheld (Monthly or Quarterly)
  • MO-W-3 Transmittal of Tax Statements / Annual Withholding Reconciliation (due January 31)
  • Wage and Tax Statement (State W-2)

 

State Unemployment (SUTA)

  • MODES-4-5 Quarterly Contribution and Wage Report


Other

 

Employee name, social security number (SSN), gross wages, and taxable wages for all employees are listed on the applicable filings done by Toast Payroll.

Where to Find Copies of Tax Filings Processed in Toast Payroll

Quarterly tax packages are found within the Toast Payroll system under Reports > Tax Filing. These reports are typically available the third full week of the month following quarter-end. Toast Payroll will only generate tax packages for quarters in which a customer was actively processing payroll within the Toast Payroll system.


Note: Toast Payroll may not be able to complete and/or submit tax filings where the Toast Payroll system reflects missing, erroneous, or incomplete information in a customer's account. It is the customer's responsibility to ensure that they have provided Toast Payroll with all requisite tax information in a timely manner. Copies of tax return submissions do not guarantee that a return was submitted to or accepted by an applicable agency.

Register for Your ID - Withholding and Unemployment Taxes

Registration with the state sets up your tax account, identified by an Employer Identification Number (EIN). This number enables Toast Payroll to file electronically on your behalf. Failure to provide this information risks Toast Payroll's ability to remit/file on your behalf, which may result in financial penalties for your company.

Missouri income tax withholding registration and unemployment tax registration are done on separate websites. Follow both sets of instructions below to get set up with the respective tax agencies. Both account IDs are needed for payroll purposes.

Information You'll Need to Register

  • Federal Employer Identification Number (FEIN)
  • Legal business name and trade name (DBA), if applicable
  • Business structure (e.g., LLC, Corporation)
  • Physical and mailing addresses
  • Date wages were first paid in Missouri
  • Full first and last names, Social Security numbers, and residence addresses for all owners, partners, or officers
  • Estimated monthly withholding amount

How to Register - Income Tax Withholding

  1. Register online with the Missouri Department of Revenue (DOR) via the MyTax Missouri website.
    1. Follow the step-by-step instructions to complete your application for your state withholding tax account
  2. Customers typically receive a Missouri Withholding Tax Account Number within 1-2 weeks after registering online. This is frequently referred to as a Missouri SIT Employer Identification Number (EIN).
    1. The account number format is: ######## (8 digits)
  3. Provide the following information to Toast Payroll by entering it into the Tax Accounts page via Settings > Payroll > Tax Accounts:
    1. Withholding account number
    2. Payment frequency, also referred to as the withholding schedule
  4. If you have not gone live in the Toast Payroll system, this information should be entered in the onboarding platform or sent to an Onboarding Consultant.

How to Register - State Unemployment

Note: In this state, customers may not receive a state unemployment employer identification number (EIN) until wages are paid. It is the customer's responsibility to not only apply for an EIN whenever applicable, but also to provide this information to Toast Payroll & Team Management. The Toast Payroll system will calculate the unemployment tax liability and Toast Payroll & Team Management will attempt to remit the funds before the EIN is received. Without an EIN however, customers may face potential penalties, fees, fines, and interest from tax authorities. Follow the instructions below to register.

 

  1. Register online with the Missouri Division of Employment Security (DES) via the UInteract portal.
    1. Follow the step-by-step instructions to complete your application for your state unemployment tax account
  2. Customers typically receive a Missouri DES Employer Account Number within 1-2 weeks after registering online. This is frequently referred to as a Missouri SUTA Employer Identification Number (EIN).
    1. The account number is formatted as ##-#####-#-## (10 digits).
  3. Provide the following information to Toast Payroll by entering it into the Tax Accounts page via Settings > Payroll > Tax Accounts:
    1. SUTA EIN (Missouri DES Employer Account Number)
    2. Unemployment tax rates, listed as your Assigned Contribution Rate
    3. If rates are not provided, the Toast Payroll system will apply state-designated new employer rates to a customer's account settings
  4. If you have not gone live in the Toast Payroll system, this information should be entered in the onboarding platform or sent to an Onboarding Consultant.

Find Your ID and Rate - Already Registered

The Employer Identification Number (EIN) identifies a tax account to the state and enables Toast Payroll to file returns electronically on a company's behalf. Failure to provide this information risks Toast Payroll's ability to remit/file on your behalf, which may result in financial penalties for your company.

Income Tax Withholding

If you've already registered for a Missouri income withholding account, the EIN and payment frequency can typically be found by:

  • Accessing MyTax Missouri and viewing your withholding tax account
  • Reviewing notices sent by the Missouri Department of Revenue (DOR)
  • Calling the Missouri DOR at (573) 751-3505


A Missouri account number is typically in a ######## format. Add your withholding employer identification number and any payment frequency (annual, quarterly, or monthly) to Toast Payroll by entering it into the Tax Accounts page via Settings > Payroll > Tax Accounts.

Unemployment Tax

If you've already registered for a Missouri unemployment (SUTA) account, unemployment account ID numbers and tax rates can typically be found by:

  • Accessing UInteract and viewing your employer account
  • Reviewing notices sent by the Missouri Division of Employment Security (DES), including prior MODES-4-5 filings
  • Calling Missouri DES at (573) 751-1995


A Missouri unemployment account number is typically in a ##-#####-#-## format. Add your unemployment employer identification number SUTA EIN and any payment frequency or tax rate information to Toast Payroll by entering it into the Tax Accounts page via Settings > Payroll > Tax Accounts.

Unemployment Tax Rate

An unemployment withholding tax rate is determined by the state and can change each year based on a number of factors. Visit the Missouri DES Unemployment Tax Rates website for more information on the calculation of a Missouri unemployment withholding tax rate.

 
Updated Missouri unemployment withholding tax rate information should be entered into Toast Payroll by navigating to Settings > Payroll > Tax Accounts.

Link Toast as Your Payroll Tax Third-Party Administrator

Linking Toast as your third-party administrator will ensure we are able to deposit and file unemployment taxes, complete the quarterly returns, and amendments (if applicable) in a timely manner.

 

Missouri Withholding Account

  1. Log into or create your MyTax Missouri account.
  2. Select Profile Information in the header and choose Manage Authorized Preparers.
  3. On the right side of the page above the list, select Add New Authorized Preparer.
  4. Enter Strategy Execution Partners, LLC's (dba Toast Tax Team) information:
    1. User ID: ToastTaxMO
    2. Registration Confirmation Number: 9901006612899
  5. Select Next.
  6. In the View column, select the appropriate business(es).
  7. Confirm the appropriate Taxpayer Name and ID/FEIN.
  8. In the Start Date field, enter the first day of the quarter (and year) you started with Toast Payroll. For example, 01/23, 04/23, 07/23, or 10/23.
  9. Select the Tax Type Authorizations button for Assignments.
  10. Select Employer Withholding Tax. Enter the same Effective Start Date you entered in step 8.
  11. Under Assigned Function, select Tax Type Functions.
  12. Select the following functions:
    1. File Returns
    2. Make Payments
    3. Upload Tax Documents in Bulk
  13. Select OK, then select OK again, and finally select Save.
  14. Review information and select Confirm.
     

Missouri Unemployment Account

The tax agency requires a signed POA form to authorize the TPA access online. After your first payroll with Toast Payroll, contact us via the blue chat dot in the lower-right corner of any Toast Payroll page to request a pre-filled POA.
