Troubleshoot Your Toast Kitchen Printer

We know that your printer not working properly can be stressful while juggling customers, upcoming orders, and orders firing from the kitchen. Fortunately, we have found that most common issues are relatively easy to fix with a few simple steps. 
 

Always try these three steps FIRST:

  1. Unplug both the power cable and the Ethernet cable from your printer. Wait three seconds.
  2. Plug both cables back in and be sure to power your printer on.
  3. Retry printing.

 

If the problem is not resolved, try these quick troubleshooting steps next:

Are you printing from a terminal? If so, make sure Wi-Fi is turned off.
Are you printing from a handheld device? If so, make sure you're on the correct Wi-Fi network.
Is your receipt printer printing blank slips? If so, make sure you're using the correct paper (see Printer Paper Rolls and Ink Ribbons) and it is installed properly. The printer paper may have been loaded backwards, so try making an adjustment.

Toast Kitchen Printer Buttons and Status Lights

The Toast Kitchen printer will buzz and use lights to alert the user of errors. Check out the table below for more information:

What type of paper does the Toast Kitchen Printer use?

1-ply or 2-ply bond 3-inch wide receipt printer paper roll. Check out this Support Center article, Printer Paper Rolls and Ink Ribbons, for more information on where to purchase paper.

 

What type of ink cartridge does the Toast Kitchen Printer use?

This printer uses the standard ERC-38 ink cartridge/ribbon. It can be purchased from a variety of online sources including this one (external link). 

 

My Toast Kitchen Printer doesn't turn on. What should I do?

If you've connected the power cable to your printer and an outlet, and when turned on the power light doesn't turn on, follow the steps below:

  1. First, let's check to make sure that the power cable connected to the power block is fully inserted into the printer. Note that you'll need to remove the cover (seen in the image below) to access this part of the printer.

  2. Next, check to make sure that the cable is fully inserted into both the printer and the outlet. Sometimes even the slightest movement will knock the cable off. Flip the power button on and check to see if that was the case. 
  3. If that doesn't work, try connecting your printer to a different outlet at your restaurant. 
  4. Lastly, try a different power cable. The Toast Kitchen Printer uses a standard power cable and you can easily pull one from an office printer, for example, to test it out. 
  5. Turn your printer back on by selecting the power button

My Toast Kitchen Printer doesn't print. What should I do?

Take the following steps to troubleshoot:

  1. Start by confirming that your printer is properly powered on and by following the steps above
  2. We'll start by printing a test print/status slip. To do so, turn off your printer (using the power button) and then simultaneously hold the Feed button while turning it back on by selecting the power button. A receipt with information (including an IP address) should print. If nothing prints, please contact Toast Customer Care and reference code #521.
     

Is DHCP Enabled or Disabled?

If your test receipt shows that DHCP is Enabled, your printer is set up for a dynamic IP address. All printers shipped from Toast since June 2021 are DHCP enabled.

On the Printer and Cash Drawer Configuration page in Toast Web, confirm the serial number field is populated (with the serial number of the device) and the IP address field is empty.

Example:

If you see both fields filled, delete the IP address. Don't forget to save and publish your changes.

If your test receipt shows that DHCP is Disabled your printer is set up for a static IP address.

On the Printer and Cash Drawer Configuration page in Toast Web, confirm the serial number field is empty and the IP address field is populated (with the IP address listed on your test ticket).

If you see both fields filled, delete the serial number. Don't forget to save and publish your changes.

Is there an IP address (with multiple numbers) on the test print? 

If the IP address is showing a series of "0's", it means your printer isn't connected to the network. If there's an IP address on the test print, it means it's a configuration issue. Follow the steps below to solve for either issue:

Configuration Issue (IP address was printed on the test print and has a series of numbers like the image above)

  1. Navigate to the terminal connected to your device. On the Device Setup screen, select Printer Setup
  2. Check to confirm that the printer shows up on the My Printers list and confirm if it is on the correct network. Most likely, the printer will show up as Offline
  3. Select the printer you're troubleshooting and select Print test receipt. If you're using this printer in your kitchen, select Print test ticket.

  4. A receipt should print from the printer. If it does, follow the steps on the column to the right. If it doesn't print, continue to the step below. 
  5. If nothing prints, make sure the printer and terminals or handhelds are on the same network. Learn more about how to check and/or forget a non-Toast secured network on your terminal in this Support Center article, Forget a Network on Your Toast Device
  6. If you're printing from a Toast Go™, make sure to connect the device to the Toast-secured Wi-Fi. If you're printing from a terminal, make sure the terminal has WLAN turned on and the correct printer is selected on the device via Device Setup. 
  7. Attempt to print a test receipt following the steps under step 3 once more. 
  8. If nothing prints again, reset the Ethernet switch on the printer. To do this, open the printer door and press the feed button 5 times. The printer light will flash to indicate the reset is complete. Reseat (unplug and replug) the Ethernet cable that goes into the printer on both ends and power cycle the printer by turning it off for 2 minutes and turning it back on. 
  9. Next, check to see if the green light on the printer's Ethernet port is flashing. If not, reset your router to refresh your network connection.

If you're still not seeing flashing lights and you've taken all of the steps above, please contact Toast Customer Care with reference code #514. 

Take the following steps to check on the configuration for the printer:

  1. On your terminal, under Device Setup, make sure that the printer in question is set as the receipt printer for that terminal or device.

  2. If the printer is used for a pep station, make sure the printer is assigned to a prep station. See this Support Center article for more information: Prep Station Basics.
  3. If your restaurant uses non-printing prep stations, such as for a bar terminal, tickets will not print as a result. Check to confirm that's the case. Navigate to Device Setup on the terminal and confirm if that's true. If you would like to use this printer for a prep station, but would like the tickets to print, select None here.

  4. Make sure you don't have more than one auto-fire device at your restaurant. To check, navigate to Device Setup on the device(s) and confirm you only have one. To learn more, check out this Support Center article: Set Up Order Autofiring.

At any point during these steps, it's recommended that you attempt to print a test receipt or ticket from your printer once again and make sure it's printing correctly. 


 

Can the Toast Kitchen Printer print modifiers in a different color?

The Toast Kitchen printer will print menu items in black and the modifier (if any) in red. 

If the ticket prints in a mix of both colors, that means that the printer ribbon/cartridge wasn't installed correctly. Make sure it's pressed in all the way. Check out this Support Center article, Toast Kitchen Printer Quick Start Guide to learn more about installing the ribbon cartridge. 
 

Where do I find the serial number on my Toast Kitchen Printer?

The serial number can be found at the bottom of the printer close to the top.

Why does my Toast Kitchen Printer print blank or print abnormally?

Take the following steps to troubleshoot:
 

    1. Make sure your printer has 1-ply or 2-ply bond 3-inch wide receipt printer paper, not thermal paper.
    2. Check for paper jams.
    3. Make sure the ink cartridge is secured. Turn the dial on the ink cartridge one or two complete rotations clockwise or until the ribbon is tightly drawn to wind fresh ribbon into the machine. 
    4. Firmly press down on both the left and right sides of the ink cartridge until you hear a click, then try to print again. 
    5. Make sure the ink cartridge is not empty and compatible (external link) with the Toast Kitchen Printer.

My tickets are displaying the wrong type of currency. How can I fix that?
