Leave of Absence FAQ

What is leave of absence (LOA) in Toast Payroll?

Leave of absence is an employment status and can be used when an employee is taking an extended, typically unpaid, leave from work. These employees are expected to return to their jobs after a set period. Common examples include maternity/paternity leave, military leave, disability leave, and jury duty.

 

Will I be charged for employees with a leave of absence status?

No, you are not charged for employees who are on leave of absence (LOA). Only active employees on the first pay date of the month contribute to the PEPM charge. To ensure accurate billing, it's important to follow our standard status change process to reflect an employee's leave of absence.

 

Will employees on leave of absence accrue time away from work (TAFW) hours?

No.

 

Does putting an employee on leave of absence status impact benefits usage? 

If the employee is being paid, their deductions will continue to pull.

 

      • If the employee should not be getting benefits during leave, you can end-date the deductions. See the Recurring Deductions section of Toast Payroll: Add or Edit Earnings & Deductions.
      • If the employee is not being paid during leave, no benefit deductions will take place during payroll.
      • Employees should work with your insurance provider if any benefit elections need to be changed during their leave. 

 

Can I mass update my employees' status to leave of absence?

This feature is not available in Toast Payroll.

 

Will putting an employee on LOA in Toast Payroll archive their profile in Toast Web?

No. The Toast Web profile will remain active unless you manually archive it. If you do archive the Toast Web profile, you must unarchive it when the employee returns from LOA and not create a new profile in either system (doing so can result in mapping errors).

 

Can I create new leave of absence types?

New types of leave of absence are managed internally. If you need to request a specific type of leave, please contact Customer Support.
