Where to Find Copies of Tax Filings Processed in Toast Payroll

To find copies of tax filings processed in Toast Payroll, the quarterly tax packages are found within the Toast Payroll system under Reports > Tax Filing. When you select Reports in Toast Payroll, you should see a URL that begins with payroll.toasttab.com. Visit Navigate Toast Payroll Within Toast Web to learn how the new Toast Payroll navigation works.

These reports are typically available the third full week of the month following quarter-end. Toast Payroll will only generate tax packages for quarters in which a customer was actively processing payroll within the Toast Payroll system.

Note: Toast Payroll may not be able to complete and/or submit tax filings where the Toast Payroll system reflects missing, erroneous, or incomplete information in a customer's account. It is the customer's responsibility to ensure that they have provided Toast Payroll with all requisite tax information in a timely manner. Copies of tax return submissions do not guarantee that a return was submitted to or accepted by an applicable agency.

How to Register - State Unemployment Taxes

In New Hampshire, customers may not receive a state unemployment employer identification number (EIN) until wages are paid. It is the customer's responsibility to not only apply for an EIN whenever applicable, but also to provide this information to Toast Payroll & Team Management. The Toast Payroll system will calculate the unemployment tax liability and Toast Payroll & Team Management will attempt to remit the funds before the EIN is received. Without an EIN however, customers may face potential penalties, fees, fines, and interest from tax authorities. Follow the instructions below to register.

  1. Register online on the New Hampshire Department of Employment Security (NHES) website.
    1. Follow the step-by-step instructions to complete your application for your state unemployment tax account.
  2. Customers typically receive a NHES Employer Account Number within approximately 2 weeks after registering online. This is frequently referred to as a New Hampshire SUTA Employer Identification Number (EIN).
    1. The account number format is: ######### (9 digits including any leading zeros, no hyphens).
  3. Provide the following information to Toast Payroll by entering it into the Tax Accounts page via Settings > Payroll > Tax Accounts:
    1. SUTA EIN (NHES Employer Account Number)
    2. Unemployment tax rates, listed as your Net Tax Rate on your NHES Determination of Liability or Tax Rate Determination notice (made up of an Administrative Contribution (AC) rate and an Unemployment Insurance (UI) rate)
    3. If rates are not provided, the Toast Payroll system will apply state-designated New Hampshire NHES new employer rates to a customer's account settings.
    4. Note: If you do not see Settings on the left side of the screen, select Payroll from the Toast Web navigation rail on the left to make the Toast Payroll navigation rail appear.
  4. If a customer has not gone live in the Toast Payroll system, this information should be entered in the onboarding platform or sent to an Onboarding Consultant.

Unemployment Tax Rate

An unemployment tax rate is determined by the state and can change each year based on a number of factors. New employers in New Hampshire are assigned a base rate of 2.7%, less any fund balance reduction (or plus any emergency power surcharge) in place for the applicable quarter. Because New Hampshire adjusts these reductions quarterly, the rate on your account may change from quarter to quarter. Visit the New Hampshire NHES Tax Rate Chart for more information on the calculation of a New Hampshire unemployment tax rate.

Update any information regarding your New Hampshire unemployment tax rate in Toast Payroll by navigating to Settings > Payroll > Tax Accounts. If you do not see Settings on the left side of the screen, select Payroll from the Toast Web navigation rail on the left to make the Toast Payroll navigation rail appear.
