Time Entry Management Overview
Reviewing and editing the hours your employee worked and using that data to help submit payroll is a critical workflow in Toast Web. That's where Toast's new Time Entry Management feature can help! By providing more robust information related to an employee's time entries in our simplified Shift Details, the system helps you manage labor costs by:
When an employee clocks in and out of a shift or break on a Toast POS device (or if you have bi-directional time clock configured through the Sling app or kiosk), a time entry is instantly created to Toast Web. You can then access it via the Time Entry Management report. Some considerations when reviewing:
Note: If you use Toast Payroll, familiarize yourself with how Toast Web and Toast Payroll handle time entries via their integration. Toast Payroll: Manage Timesheets has more information.
Get a more detailed look at your employee's shift using the Shift Details menu. To view the Shift Details, select an employee's shift by selecting the row next to their name on the Time Entries Management page. Some features of this view include:
There are several ways to edit your employee's clock in, clock out, breaks, and declared tip amounts as they relate to their worked shifts. Note: If you manually adjust a time entry/break, the Toast platform recalculates the time intervals for that time entry/break and logs missed breaks based on those recalculated time intervals. If break acknowledgements are enabled, these cannot be recorded for manually-entered breaks in Toast Web.
Managers can update employee time entries for the current work week on the POS by navigating to the main menu of the Toast app and selecting Review Employee Shifts under the Manager Activities section.
Note: Shifts created in Toast Web instead of on the POS will not appear in the Review Employee Shifts function on your POS.
On this screen, you'll see Active shifts at the top and Closed shifts below, with total payments, cash in hand, and non-cash tips information displayed for each employee.
To adjust a time entry on the POS:
Note: You won't have the ability to remove the clock in or clock out time for your own shift.

If you need to edit additional fields unavailable via in-line editing, select the row of the shift, clicking anywhere outside of the editable fields.
If this employee took a break during the shift, see the Manage Breaks When Editing/Auditing Time Entries section for additional details.
| With the introduction of the new Time Entry Management page, this feature will be removed in time. To access this page, select the Time entry reporting hyperlink from Reports > Labor > Time entry management. |
If this employee took a break during the shift, see the Manage Breaks When Editing/Auditing Time Entries section for additional details.
When you are reviewing employee clock in and out times on the Time entry Management report in Toast Web, there are some break specific considerations:
Note: If you receive an error that a time card has already been created for an employee, but you are unable to see it on the Time Entries report, it may be due to an employee clocking in at midnight or before on the previous day and working into the day you are viewing. To view the time entry, expand your date filter to include the day prior and you should see it.
If you navigate to Employees > Timesheet management > Break types, there are two ways that you can disable a break so it doesn't appear on your POS:
To enable a break that was previously disabled, navigate to Employees > Timesheet management > Break types and enable the Active toggle for the specified break.
If breaks are configured and active in Toast Web, all employees automatically have access to take breaks; no unique permissions are required.
If you configured a break with the Enforce minimum time setting enabled, employees cannot return from break until the full duration of the break has passed. If the employee needs to return from the break early, a manager with permission 3.15 End Breaks Early can override that break minimum enforcement, allowing the employee to clock back in.
If you have multiple locations or are part of a restaurant group, the permissions associated with managing and editing a break are indicated by the Owner found on the Break Type page (Employees > Timesheet management > Break types).
For restaurants who are part of a multi-location group, you will have selected the Target and Owner during your initial configuration. When reviewing and auditing breaks, you will see these choices reflected in columns:
Use the location/restaurant group drop-down menu in the upper-right corner to filter the page to show breaks that have that location as the Target or Owner.
There's a few new columns here too:
