Manually Add and Adjust Rewards Balances

In Guest Loyalty Reports, you can activate inactive gift cards, adjust card and reward balances, activate and deactivate cards, change customer information, or delete/change a guest's rewards or gift card information.

If your restaurant uses Toast's Gift Card/Loyalty Rewards feature, you can access and view real-time reporting about your restaurant's gift card liability, loyalty account data, and transactions involving both items. You'll also be able to manually update different aspects of gift cards and reward accounts.

Adjust a Gift Card / Rewards Account Balance Manually

You must have the 3.3 Gift Card Adjustment and 4.4 Gift Rewards Card Reports permissions in order to locate and adjust gift cards and rewards accounts balances manually. To learn more, see Permissions Reference Guide.

 

  1. First, locate the gift card or rewards account that you wish to update by navigating to the following paths in Toast Web:
    1. Gift Card: Reports >Payments > Gift card balances
    2. Rewards Account: Marketing > Rewards accounts
  2. You can use the search bar and apply search filters as needed to locate a gift card or rewards account.
  3. Once located, select the gift card / or rewards account balance that you wish to adjust from the list. Note: For gift cards, you will next see the Card details page. You can use the Adjust Balance button to enter an amount to be added or deducted.
    • Gift Card Example: If you want to add $10.00, enter "10." To subtract $10.00, enter "-10" into the amount field. 
    • Rewards Balance Example: Add reward points by entering a positive number or subtract points from the balance by inputting a negative sign before the number. 
  4. Once completed, select Save.

 

Activate / Deactivate a Gift Card Manually

You must have the 3.3 Gift Card Adjustment and 4.4 Gift Rewards Card Reports permissions in order to activate or deactivate a gift card manually. Learn more about user access permission here: Permissions Reference Guide.

Active gift cards are cards that either have a balance, or have been used as payment. Gift cards with a zero dollar balance are considered active gift cards. Inactive gift cards have not had any transactions associated with them.

Active cards are displayed in the Gift Card Balances report and inactive cards are displayed in the Inactive Gift Cards report. If you imported cards from your previous system, you can search using the old gift card number and use the show/hide columns button to list that legacy number in the report view. This function allows you to adjust inactive cards individually and cannot be performed in bulk. If you have a large bulk update to make, you can contact Toast Customer Care for assistance by providing the card numbers and balance updates that need to be made

To activate or deactivate a gift card manually, follow these steps:

  1. In Toast Web, depending on if your card is active or inactive, either navigate to:
    1. Reports > Payments > Gift Card Balances, or 
    2. Reports > Payments > Inactive Gift Card
  2. Select the gift card that you wish to activate or deactivate from the list.
  3. From the Card Details pop-up window, select Edit next to Card Info.
  4. From the Status drop-down list, select ACTIVE or DE-ACTIVATED
  5. Save your changes.

Update Customer Information for a Gift Card/Rewards Account

You must have the 3.3 Gift Card Adjustment and 4.4 Gift Rewards Card Reports permissions in order to update customer information for a gift card / rewards account. Learn more about user access permission here: Permissions Reference Guide.

 

  1. First, locate the gift card or rewards account that you wish to update by navigating to the following paths in Toast Web:
    1. Gift Card: Reports >Payments > Gift card balances
    2. Rewards Account: Marketing > Rewards accounts
  2. Use the search bar and apply search filters as needed to locate a gift card or rewards account within these reports. To locate a gift card account, we recommend a search using the 16-digit gift card number. For rewards accounts, you can search for the original email address that the guests used when they registered their accounts.
  3. Select the gift card or rewards account that you wish to update from the list.
  4. From the Card Details pop-up window, select Edit next to Customer Info.
  5. Under Customer Info, enter the updated customer information.
  6. Save your changes.
