Shift Review Overview

Shift review is an optional end-of-day task that employees can complete before leaving for the day. Shift review provides employees with an overview of their sales transactions, tip amounts, and other information.

 

Shift reviews can only be completed for employees who are clocked in. For instructions, see Clock In and Out for Shifts and Breaks.

 

You can choose if shift review is required or optional for employees on the Shift review setup page in Toast Web. In Toast Web, navigate to Employees > Shift review > Shift review setup > Select the Customize shift review button. When shift review is required, hourly employees must close all open checks and declare cash tips before clocking out; this applies across Table Service, Payment Terminal, Quick Order, and Delivery modes. If you attempt to clock out without completing these steps, the system will display the error message, "You must close your shift before clocking out." Conversely, if shift review is optional, you are not required to complete these steps and may clock out directly at the end of your shift. Complete a Shift Review

The Shift Review report is on the left side of the screen, and the steps to complete the shift review are on the right side of the screen. When a step is completed, a green checkmark appears next to the step.

To access shift review in the Toast app's main menu, select Shift Review under My Account. Managers can view employees’ shifts under Manager Activities > Shift Review. A shift review can consist

These are required for an employee to complete a shift review and tip out. For more information on permissions, check out Toast's permissions reference guide.


Note: The steps listed below are in chronological order, but based on configurations in Toast Web, the additional optional tasks of Declaring cash tips and Closing cash drawers may be required for shift review.

Review and Close Checks During Shift Review

  In this step, hourly employees will close, adjust, or view all checks they own during their shift. This step shows:
  • Number of open checks
  • Number of paid checks
  • Number of closed checks

 

If all checks are already closed, this step is automatically skipped and marked with a green checkmark. If there are unpaid or open checks, employees have to close them or transfer them to another employee before moving on.

  1. On the main menu of the Toast app, navigate to My Account Shift Review.
  2. Check to see if there is a green check mark for the Close checks task.
  3. If not, select the Close checks button. This opens the Payment Terminal, where you can close all open and unpaid checks. Note: Open checks from previous shifts do not appear in your shift review.
  4. If a check cannot be closed, you must either void the check (with manager approval) or transfer the check to another server via the overflow menu (⋮) by selecting Change server.

After all checks are closed, you will return to the Shift Review screen, and the task will be marked with a green checkmark.

  • View closed checks: Select this button to review your closed checks in the Payment Terminal.
  • Close shift (or Next): Select this button to continue to the next step in shift review.
    • Note: Any open or paid checks remaining at the closeout hour (defaulted to 4:00 AM) are automatically closed with zero tips entered.

Declare Cash Tips (Optional) During Shift Review

In this step, tipped employees are required to enter cash tips collected throughout the shift. This is an optional step that can be configured in Toast Web by navigating to Employees > Shift review > Shift review setup > Declare cash tips.

 

Depending on the configuration enabled in Toast Web, employees may either:

  • Be required to declare a minimum % of their cash sales as cash tips (e.g. a server to takes $200 in cash sales might be required to declare 10%, or $20). If this is active, you cannot declare negative tips.
  • Be required to declare negative cash tips. This requires manager approval and can be useful for tipping out bussers and dishwashers. Negative declared tips setting is to be set to Allow and may require manager approval.

 

If a tip requirement is required, the window appears. Enter the minimum amount to declare your cash tips.

  1. Select the Declare cash tips button to open the numerical keypad.
  2. The keypad displays total cash payments, total payments, and any required tip percentage.
  3. Enter the numerical value. If a minimum requirement is set, you must meet that amount to proceed.
  4. Select Declare to save, or No tips to declare $0.
  5. To change an amount, select Update cash tips. You may also Reopen shift if you need to take more payments.

Once cash tips are declared, employees will select the Close shift button on the shift review screen to continue closing their shifts. This indicates that they are no longer taking payments.

Reconcile Cash & Tips During Shift Review

In this step, employees are prompted to turn in any cash sales and collect non-cash tips from their shifts. Depending on the configuration enabled in Toast Web, employees may either:

  • Skip this step: This is only possible if the restaurant does not require employees to pay cash owed or collect non-cash tips.
  • Pay or Collect: Collect their non-cash tips and gratuities in cash during this step, or they may be paid out during payroll. 
    • Employees may see a Pay or Collect button. Employees must turn in any cash they owe to the restaurant OR collect the tips owed to them at the end of the shift. This step is recommended if your restaurant's preferred method of collecting cash and tipping out does not need to be accounted for in separate cash drawers or safes.

  • Pay and collect: Employees must turn in any cash they owe to the restaurant and then collect tips owed to them at the end of the shift. This step is recommended if cash is collected and the tip out should be accounted for in two separate locations. For example, cash collected should be accounted for in a cash drawer, while tip out might come from the server's own cash bank or safe.

The Cash reimbursement step calculates the total you owe or are owed based on Total cash sales (Cash in hand) and Total non-cash tips.

  1. Select an Action: Based on your totals, select the Pay $, Collect $, or Pay and collect $ button.
    • Note: If Pay out through payroll is enabled in Toast Web, only the Pay $ button will appear.
  2. Choose a Location: If prompted, select a specific cash drawer to deposit/collect funds, or select Don't use cash drawer to deposit cash directly to the House (such as an office safe).
  3. Permissions: To collect credit card tips without a manager passcode, employees must be assigned the 1.13 No Sale permission.

 

Once you have deposited or collected your cash, a green Paid label will appear next to the amounts in the shift review report. The step will display a green checkmark and the final amount paid. Select Next to move to the final stage of your shift review.

Close Cash Drawers (Optional) During Shift Review

In this optional shift review step, employees locked to a cash drawer are required to close it out. Note: that this step only appears if it has been enabled in Toast Web; otherwise, the step will be hidden. When enabled, it is only shown to employees currently locked to a drawer.

 

Selecting the Close cash drawers button takes you to the cash drawer screen, where you can view a summary of your open and closed drawers.

To close your cash drawer:

  1. Open the Cash Drawer Screen and select Close cash drawers. You will see your cash entries, starting balance, and current balance.
  2. Start the closeout by selecting the Close Drawer button under the End of Shift section to open the Close Out Balance dialog box.
  3. Count all cash in the drawer and enter the total amount into the Cash Actual field.
    • Tip: Select Count Bills to use the built-in calculator for easier counting.
    • Note: If you have the 3.17 Cash Drawers (Blind) permission, the Cash Expected amount will be hidden, and you won't know how much cash is technically supposed to be in the drawer.
  4. The system will calculate the difference between the Cash Expected and Cash Actual. It will display as Cash Over, Cash Short, or No Difference.
    • If the difference exceeds the threshold configured in Toast Web, a manager must approve the closeout.
  5. You may enter an optional comment (up to 45 characters) to explain any overages or shortages.
  6. Lastly, select Close Drawer to complete the process.

 

Once finished, the Cash drawers step will display a green checkmark, and you can select Next to continue your shift review.

Clock Out After Shift Review

In this last step, the employee clocks out. They can choose to:

  • Print the shift review report,
  • Clock out and start a new shift, or
  • Clock out

Reopen a Shift

You can reopen previously closed shifts within the current work week, re-calculate its data, and then re-close. You may want to reopen a shift if:
  • You need to extend a shift after clocking out
  • You accidentally skipped the reconciling cash and tips step
  • Tips were paid out of the wrong drawer
  • Cash sales were collected using the wrong drawer
  • Tips were adjusted on a check after the shift was closed
  • Customer added a tip to a check after the employee had clocked out and closed their shift
  • Make any adjustments to checks that were closed or swap checks to a different server
  • A check was closed to the wrong employee (Note: The shift of each employee needs to be reopened to make this change)


By reopening the shift, the Tip Out and Cash Collected entries from before are deleted, and you are free to redo them. When a shift is reopened, previous cash and tip entries will be overwritten, meaning that you will have to turn in your cash and collect your tips again. Follow these instructions to reopen a shift:
 

  1. From the shift review screen on your POS, select Edit.

  2. This will bring up a confirmation pop-up. Select Yes, make edits to confirm that you want to edit your cash sales.
  3. The Cash Collected and Tips Paid entries can be allocated to and from another cash drawer or the house. In order to update the shift review to include changes made to checks, such as added tip amounts, the shift must be completely reopened. To completely reopen a shift, the employee must still be clocked in. This may require temporarily removing the Out Time and then re-entering the time after the changes have been made.
  4. If the employee is still clocked in, on the shift review page, the option to Re-open shift will appear above the Reconcile cash & tips section.

  5. Once you select the Re-open shift option, you'll see another confirmation pop-up.
  6. Select Re-open shift to confirm your action.
  7. Make the necessary changes, then follow the steps in shift review to complete shift review. 

Reopen a Cash Drawer

In the event a cash drawer was incidentally closed out at the beginning of the shift, on your POS, you can navigate to Manager > Cash Drawer > Closed > Re-Open.

Shift Review for Delivery Drivers

The 2.1 Delivery Mode permission is required for a driver to complete shift review and tip out. For more information on permissions, check out Toast's permissions reference guide.


Delivery drivers with the 2.1 Delivery Mode permission must complete a shift review. Delivery drivers follow the same workflow as other employees who need to complete shift reviews.


In Toast Web, you can configure your Driver Cash Management settings by navigating to Takeout & delivery Availability Takeout/delivery and scrolling down to the Driver Cash Management section.

 

When a delivery driver completes a shift review, this helps in calculating delivery fees, reimbursements, gratuities, and other information. This information appears in the driver’s shift review report.

Manager: Review Employee Shift Function 

The 3.12 Shift Review permission is required in order to access the Review Employee Shifts feature on the POS. For more information on permissions, check out Toast's permissions reference guide

Shifts created in Toast Web instead of on the POS will not appear in the Review Employee Shifts function on your POS. 
 

With the manager Review Employee Shifts function, you can easily check on the status of shifts and ensure that all shift reviews are completed prior to the end of the day. This feature allows you to view shift details, monitor real-time progress, and even adjust clock-in/out times. Learn more: Edit Employee Time Clock Entries.

 

On the main menu of the Toast app on your POS, navigate to Manager Activities > Review Employee Shifts. Here, you can see an overview of all of the open and closed shifts. The number of shifts in each category appears to the left of the category name:

  • Active Shifts: Employees who are currently taking orders/payments or are in the process of completing their review.
  • Closed Shifts: Employees who have completed their shift review and clocked out.

 

The status of each employee's shift will be shown in the column to the left of each employee's name. These statuses change based on employee actions:

  • Active shift: The shift is active. A shift is considered active if the employee has clocked in and added at least one order.
  • Cash collected: Cash sales have been collected from the employee.
  • Paid out: Non-cash tips have been paid out and the employee has clocked out.
  • Closed shift: The shift is closed. A shift is considered closed when all checks are closed, cash tips are declared (if applicable), and the employee has closed the shift.
  • Clocked out: The employee has clocked out.

 

If an employee has left for the day and forgot to finish their tasks, you can select their row to complete the shift review for them. On this screen, you can also view specific details such as total payments, cash in hand, and non-cash tips. Additionally, use the following tools to manage your team:

  • Search: Find specific employees quickly using the search bar.
  • Filter: Organize the list to focus on specific shift types.
  • View Time Cards: Transition directly to the time card management screen.
  • Switch User: Quickly log in as a different user if needed.
