You do not need to be live on Toast POS to get started with xtraCHEF! All you need to get started is a handful of invoices. You can do this from desktop or mobile.
How many calls with an Onboarding Consultant do I get?
Two calls with an Onboarding Consultant are included with the Essentials package and nine (seven additional calls after Essentials) calls are included with the Pro package. If you and your Onboarding Consultant agree you need more time, extra help may be provided.
How long does onboarding take?
We are here to help you get onboarded as quickly as possible! Depending on your level of commitment to completing , onboarding for a Essentials account can take as little as a week.
Pro packages require more set-up time with your Onboarding Consultant for you to get your inventory controls and recipe costing up and running–you can anticipate about seven weeks of working closely with your OC to get the best, most accurate reporting and analytics.
I didn’t receive a phone call from my Onboarding Consultant - Does it come up as SPAM?
Sometimes our phone calls show as SPAM on the caller ID. Your OC will text you and email you all the important information for your onboarding as well, so be on the lookout for our communications!

What if I don’t have any invoices yet?
If you do not yet have invoices, let your Onboarding Consultant know so that we can adjust your Onboarding journey to suit your needs.
What if I don’t go through the self-onboarding process before my kickoff call?
We highly encourage getting this done prior to your kickoff call. However, if you are unable, you will be able to complete this with your OC during the call!
Who needs to be on the call?
The point of contact who will be responsible for maintaining the xtraCHEF account and any other stakeholders that you deem necessary, such as the owner, general manager, bar manager, or accountant.
Does my accountant need to come?
If your accountant is available to come, it is always helpful if you are planning to sync xtraCHEF to your accounting software. If they are unable to come, please at least make sure to get login credentials/information for your accounting software so that we can help you make the connection (if you are a QuickBooks user).
If you are a non-QuickBooks user, ask your accountant for an Excel file of your GL codes and vendors (chart of accounts) prior to meeting with your OC.
What if I am not a QuickBooks User?
Not to worry! If you are a non-QuickBooks user, please prepare an Excel sheet of your GL codes and vendors so that your OC can upload those into your account prior to your kickoff call.
Do I need to bring my chart of accounts if I have QuickBooks Online?
If you have your login credentials for QuickBooks Online, you do not need to bring your chart of accounts to your kickoff call.
How can I automate my invoice upload experience so I am not always scanning?
We offer EDI integrations with select national vendors, including Sysco, Ben E. Keith (BEK), Fintech, Gordon Food Service (GFS), Performance Food Group (PFG), US Foods, and DiCarlo.
If you use any of these vendors, be sure to come to compile any account numbers and rep contact information for these vendors - we can set up direct invoice integrations via EDI. . Save time, improve accuracy, and receive up-to-date invoice information within an hour.
Why are my inventory and recipe icons locked?
If you see a lock icon on the Inventory and Recipe module, you have the xtraCHEF Essentials package. To upgrade to the Pro xtraCHEF package, contact your sales rep or onboarding consultant for more information.
Will my Onboarding Consultant set up my recipes for me?
Your Onboarding Consultant will meet with you 1:1 and sign you up for the Recipe webinar to help you learn the skills you will need to build recipes in xtraCHEF on your own. They will build at least 5 with you on the call.
Will my Onboarding Consultant set up my inventory for me?
Your Onboarding Consultant will meet with you 1:1 and sign you up for the Inventory webinar to help you learn the skills you will need to create and take your first inventory in xtraCHEF on your own. They will build at least 1 with you on the call.
